Who We Need
Penn Color is seeking a highly organized and motivated Office Manager to oversee scheduling and administrative operations at our manufacturing facility in Milton, WI. This role is critical to ensuring smooth coordination between production, office functions, and leadership support. The ideal candidate is detail-oriented, adaptable, and capable of managing multiple priorities in a fast-paced environment.
Role Overview
The Office Manager plays a key role in supporting the day-to-day operations by coordinating production scheduling and ensuring the office runs efficiently. This position blends administrative support, employee engagement, and production coordination — ideal for someone who enjoys being at the center of communication, organization, and teamwork.
The Office Manager works closely with plant leadership, production, customer service, and HR to maintain accurate schedules, support employees, and create a positive, well-organized workplace.
Key Responsibilities
Production Scheduling & Coordination
- Assist with daily and weekly production scheduling in partnership with the Plant Manager and Supply Chain.
- Track work orders, material availability, and job progress to support on-time delivery.
- Communicate schedule updates and adjustments to supervisors, customer service, and logistics.
- Maintain accurate production records and assist with basic reporting.
Administrative & Office Support
- Serve as the first point of contact for visitors, vendors, and incoming calls.
- Support daily administrative tasks such as employee support, ordering supplies, site communications, etc.
- Coordinate and support site events, celebrations, and employee engagement initiatives in partnership with the Hatfield HR team.
- Maintain an organized and welcoming office environment.
- Prepare communications, reports, and other documentation as needed for site leadership.
Team & Culture Support
- Help promote Penn Color’s core values and foster a positive, inclusive workplace culture.
- Assist with onboarding activities and orientation logistics for new employees.
- Participate in safety, quality, and continuous improvement meetings and initiatives.
Success in This Role
Success in this position means being a dependable hub of organization, communication, and coordination for both production and office operations.
- Efficient and Accurate Scheduling: Customer orders are transitioned into production schedules and batch tickets promptly and correctly, ensuring smooth workflow and minimal delays.
- Operational Support: Production operations are supported through timely communication, organized documentation, and proactive supply management.
- Service & Responsiveness: Employees, customers, and visitors receive professional, friendly, and timely assistance — reinforcing a positive site experience.
- Engagement & Culture: Site events, communications, and engagement initiatives are well-organized and aligned with company values and Hatfield-led programs.
- Performance & Metrics: Operational goals such as on-time delivery, schedule adherence, and administrative accuracy are consistently achieved through attention to detail and strong follow-through.

Preferred Qualifications:
- 3–5 years of scheduling or administrative experience in a production/manufacturing environment.
- Proficient in MS Word, PowerPoint, and Excel (knowledge of pivot tables, formulas, charting, etc.)
- Proficient in Oracle E-Business Suite desirable
- Ability to work independently and cross-functionally with accuracy and attention to detail.
- Effective communication skills and ability to work with both production and office personnel
- Office based role within a manufacturing environment
