Job Summary
The Office Lead will oversee the day-to-day administrative functions of the business office and manage all mail, multiple business units in departments within the MFA. The Office Lead will play a crucial role in ensuring the smooth and efficient operation of the business office, handling mail distribution, coordinating with various departments, vendors, and managing administrative tasks to support the overall functioning of the Medical Faculty Associates (“MFA”).
Essential Duties and Responsibilities
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.
- Manage mail distribution to all departments and vendors and maintain an efficient tracking system of items received and dispersed.
- Manage and coordinate supply distribution processes, ensuring timely and accurate delivery
- Collaborate with department heads to streamline business operations and improve efficiency
- Develop and recommend office policies and procedures to optimize workflow and productivity
- Handle budgeting and financial management tasks for the business office
- Ensure compliance with all regulatory requirements and standards
- Conduct regular checks on supplies needed to operate business at the administrative locations
-Open tickets for any equipment that is not functioning appropriately
-Complete presentations and create simple spreadsheets
-Ensure that all invoices are submitted for payment timely
-Act as the point of contact for vendors and building facilities
-Manage the Brinks Contract and all contracts associated with the business office
- Identify areas for improvement and implement solutions to enhance office operations
-Assist Director, Revenue Cycle and Finance and Accounting Department in scheduling administrative meetings
-Hold calendar reservations for the conference rooms at 3811 Fairfax, Arlington Location
-Facility oversight for items not covered by the landlord
Qualifications
- High School Diploma, Healthcare Administration, or related field (preferred)
- Excellent communication and interpersonal communication abilities
- Proficient in Microsoft Office and other relevant software applications
- Detail-oriented and organized, with the ability to prioritize tasks effectively
Education
High School Diploma in appropriate field or an equivalent of training and experience
Experience
3 years’ experience of professional experience within a managed care/healthcare environment, to include 2 years’ experience involving healthcare.
Competencies
Ability to do math calculations, input data into the computer, and analyze data as requested. Must be able to communicate providing verbal feedback in a professional manner. Must be able to follow and understand instructions and react favorably in all work situations. Must be mentally adaptable and flexible in dealing with a variety of people.
