General Description:

The Administrative Assistant supports the Exceptional Children (EC), Student Services, Safety & Security, and Federal Programs & Accountability departments by coordinating professional development, maintaining records, managing financial transactions, and providing administrative assistance. This position requires strong organizational, communication, and technical skills, along with the ability to handle confidential information and multitask in a fast-paced environment.

Essential Duties and Responsibilities:

Professional Development

  • Facilitate Exceptional Children, Student Services, Testing & Federal Programs, and Safety & Security professional development activities, including setup, attendance tracking, and credit documentation.
  • Process all paperwork, advance payments, and receipts for outside professional development and reimbursements.
  • Send sub codes to school secretaries for staff attending PD sessions.
  • Secure meeting space and arrange meals/catering as needed.

Exceptional Children Records and Compliance

  • File and maintain all EC protocols.
  • Process Disability Determination requests.
  • Distribute annual destruction notifications to schools & publish legal notices.

Medicaid Billing

  • Maintain and monitor the Medicaid billing program.
  • Serve as liaison between the billing software vendor and therapists providing services.
  • Track Medicaid funding and compile related reports.
  • File Medicaid Consents
  • Complete Medicaid Administrative Claiming (MAC) Reporting

Financial and Administrative Support

  • Track and reconcile all budget accounts for assigned departments.
  • Process purchase orders, contracts, MOUs, homebound contracts, and background checks for all departments.
  • Reconcile credit cards/invoices for payment
  • Assist with DDC fingerprinting.
  • Prepare and transcribe psychological reports.

Program Support

  • Serve as liaison for Special Olympics coordination.
  • Assist with Indicator reporting.
  • Provide administrative support for the School Health Advisory Council (SHAC).
  • Maintain and update Google Groups and Educator’s Handbook entries for new staff.
  • Manage financial accounts for School Safety-related funding

General Office Duties

  • Respond to general inquiries and requests.
  • Sort and distribute incoming mail.
  • Operate standard office equipment; manage office supplies and maintenance agreements.

Knowledge, Skills, and Abilities:

  • Excellent written and verbal communication skills.
  • Demonstrated ability to handle confidential information with discretion.
  • Strong organizational skills and attention to detail.
  • General knowledge of procedures related to Exceptional Children and Student Services.
  • Proficient with standard office software (Microsoft Word, Excel, Google Workspace).
  • Proficient keyboarding skills with accuracy.
  • Working knowledge of bookkeeping/accounting and budget tracking procedures, with attention to detail.
  • Ability to work independently with minimal supervision.
  • Ability to compile and summarize information and compose correspondence independently.
  • Commitment to maintaining positive relationships with staff, students, parents, and community members.

Additional Responsibilities:

  • Coordinate with other departments on cross-functional projects.
  • Provide support during district audits or compliance reviews.
  • Perform other duties as assigned by the Director of Exceptional Children, the Coordinator for Student Services, the Coordinator of Safety & Security, the Director of Federal Programs and Accountability.
