POSITION SUMMARY:
The Atlanta University Center Robert W. Woodruff Library (AUC Woodruff Library) supports the teaching and learning missions of three institutions of higher learning that comprise the world's largest consortium of HBCUs--Clark Atlanta University, Morehouse College, and Spelman College. Conveniently located and easily accessible to the campuses, the AUC Woodruff Library is the center of intellectual and social life at the Atlanta University Center.
The AUC Woodruff Library is committed to excellence in service delivery. To continue this excellence in programming and services, the library seeks a knowledgeable, engaging, dynamic, customer-focused Event Coordinator. Reporting to the Communications Manager, the Library Event Coordinator is responsible for planning, organizing, and executing a wide range of events and programs that enhance the library's visibility, engage diverse audiences, and advance its mission. This role involves coordinating logistics, collaborating with internal and external stakeholders, and ensuring high-quality program delivery that supports the library as a vibrant community and academic hub.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Develop, coordinate, and implement library events, workshops, and special programs for students, faculty, staff, and the broader community.
- Manage event logistics including scheduling, venue setup, catering, audio/visual needs, accessibility, and staffing.
- Coordinate with library staff, institutional partners, vendors, and community organizations to deliver impactful programming.
- Ensure all events align with the library's mission, values, and strategic goals.
- Collaborate with the Communications team to create promotional materials, event calendars, and social media content that reflect the Library's standards of communication.
- Serve as a point of contact for participants, presenters, and partners.
- Prepare and monitor event budgets, track expenses, and submit invoices as needed.
- Maintain event records, feedback surveys, and reports to assess success and recommend improvements.
- Promote inclusive and accessible programming that reflects the needs of diverse audiences.
- Ability to work nights and weekends as required for events.
- Represent the library at campus and community events.
QUALIFICATIONS:
- 2-3 years of experience in event planning, program coordination, or community engagement.
- Excellent organizational, time management, and problem-solving skills.
- Strong written and verbal communication skills.
- Ability to work collaboratively with diverse groups and adapt to shifting priorities.
- Ability to perform physical activities as associated with events, as needed.
- Proficiency with office software and event management tools.
