Position Summary: The Treatment Coordinator promotes practice growth through effectively implementing administrative procedures and support, and displays a positive, professional presentation as a member of the Front Office team for TorriMed Oral Surgery & Dental Implants. This person is responsible for preparing, presenting, and scheduling patients for treatment plans following the surgeon's and/or associate surgeons' notes and direction. Also responsible for preparing and setting up appointment financial arrangements before treatment. Other duties and responsibilities as assigned by the supervisor. 

Requirements

 

Essential Functions: 

  • Occasionally open office and prepare for business day
  • Must maintain regular, consistent, and punctual attendance following assigned schedule and time off policies.
  • Must be able to comfortably and efficiently handle multiple deadlines and task assignments.
  • Must be able to work both independently and cooperatively in team settings.
  • Retrieve messages and e-mails and act upon them promptly.
  • Welcome patients and visitors into the office with a cordial greeting and a smile.
  • Must always represent the practice in a professional, pleasant, and cooperative manner. 
  • Make certain that the office has x-rays from the previous dentist when appropriate 
  • Schedule appointments in consideration of production and capacity.
  • Confirm appointments and review all cases 2 days before the appointed time for assigned doctor’s patients.
  • Check patient records and determine what is needed before patient arrival, notate and prepare for these needs. 
  • Set up appointments with other providers when indicated, and coordinate with various offices.
  • Accept and record payments made at the time of service, via mail and telephone
  • Be knowledgeable in the operation and maintenance of equipment and software in the front office.
  • Make courtesy calls for treatment follow-up, as per office protocol
  • Faithfully run recall reports monthly. Ensure appropriate follow-up action is completed for each patient from this report.
  • Create, prepare, and work with the patients and doctors to create financial arrangement options that meet both patients’ and practice’s needs.
  • Occasionally there may be some travel, by car or plane, required for you to participate in continuing education or seminars. 
  • Other duties and tasks, as assigned periodically.

  • Always maintain the highest level of confidentiality to HIPAA standards.
  • Must maintain accurate documentation in keeping with office protocol to record the status of communications and actions taken with each patient case worked.

  • Must be comfortable seeing and able to maintain a professional demeanor and attitude while working around blood and smells that may be unpleasant.
  • Must be detail-oriented to maintain good financial practices, account balances, and financial reporting within patient accounts.
  • You must be flexible and understand that your job duties may change from time to time and that you may be asked to “help out” in other areas of the office.
  • Good interpersonal skills to maintain a positive rapport with patients, dentists, other staff members, and the community.
  • Must display effective verbal skills to communicate clearly and professionally with patients and staff
  • Must demonstrate active listening - giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Must demonstrate good reading comprehension - understanding written sentences and paragraphs in work-related documents.
  • Must display the ability to arrange things or actions in a certain order or pattern according to a specific rule or set of rules (e.g., patterns of numbers, letters, words, pictures, mathematical operations).

  • Moderate noise levels from medical and office equipment
  • Exceptional hand dexterity and typing skills to work with standard software programs provided.
  • Good mathematical aptitude to prepare and interpret financial reports, collect and track payments and account balances, and maintain financial integrity for the practice. 
  • Near Vision - the ability to see details at close range (within a few feet of the observer) as required for computer data entry and the preparation of written patient communications. 

Education & Experience:

  • High School Diploma or G.E.D. Certificate.
  • Preferred two or more years of medical or dental office administrative experience.
