The Document Controller will work closely with Falcon’s internal creative and technical teams as well as outside vendors and clients. This role is responsible for managing incoming and outgoing deliverables of various complex, large-scale projects across Falcon’s portfolio of theme parks, hospitality venues, bespoke food & beverage and retail, and resort environments. These projects combine the services of specialty designers and fabricators, scenic, lighting, AV, and ride vendors to produce a show or an attraction or a series of attractions for our clients.
The Document Controller will be in-office to oversee the receival, distribution, and archiving of all project deliverables, including drawing packages, 3D files, PowerPoint presentations, and concept art. In addition, the Document Controller will attend meetings with all project stakeholders, maintain version control procedures, check documents for compliance against internal and client standards, and act as the point of contact for all incoming documents from client and other stakeholders. This role is also responsible for the document flow within the company through the different departments and maintaining the project SharePoint site, transmittal logs, Smartsheet, RFI process etc.
Key Responsibilities:
- Act as point of contact for all document-related communication between client, external project stakeholders, sub-vendors, and internal company team members.
- Reliably upload and download project files to/from project folder structure and communicating location to relevant team members
- Collaboration with internal team members and sub vendors to ensure all contractual deliverables are satisfied and quality standards are met.
- Identify opportunities for process improvement and implement measures to create more efficient document control processes.
Job Qualifications and Requirements:
- Must have or be able to quickly acquire knowledge of company structure (mission, goals, and objectives), and policies and procedures.
- 2-4 years of document control, project management, or related experience. Associate and/or Bachelor's degree in relevant field from an accredited program is preferable.
- Experience or familiarity with themed entertainment projects is preferred.
- Familiarity with Autodesk Construction Cloud, Aconex, and/or PM Web
- Proficiency in Microsoft 365 Suite, particularly Microsoft Excel. Experience with Microsoft Power Tools is a plus.
- Familiarity with Smartsheet’s dashboards and functions.
- Attention to detail and effective time management skills.
- Ability to quickly adapt to changes in project scope & schedule, and the ability to confidently handle disagreements or conflicts related to project scheduling.
- Requires a sound understanding of analytical problem solving.
- Strong technical oral and written communication skills for a wide audience.
- Preferred familiarity of construction methods and industry and ability to read architectural and construction drawings.
- Ability & willingness to work overtime, weekends, and holidays with short notice as project demands require.
- Must have or be able to quickly acquire knowledge of company structure (mission, goals, and objectives), and policies and procedures.
- Must possess a valid driver’s license.
- Must be authorized to work lawfully in the United States of America.
- Will not require Falcon’s Beyond Global, LLC to commence (“sponsor”) an immigration case in order to be employed (now or in the future).
This at-will, in-office position is being hired to support a specific client project. While this role is a full-time position with Falcon's Creative Group, employment will not extend beyond the duration of the project. The assignment will conclude once the project is completed, at which time employment with Falcon's Creative Group will end. The expected project timeline is to be determined. For avoidance of doubt, employment with Falcon’s would be at-will at all times, meaning that the employee or Falcon’s may terminate the employment at any time (including prior to the conclusion of the project).
