General Purpose

The Assistant Director of Banquets oversees and supports all banquet operations—both front and back of house—to ensure seamless execution, exceptional service, and complete client satisfaction. This role drives operational excellence, cultivates relationships, and promotes repeat business, all while upholding Sandestin Investments, LLC’s Vision, Mission, and Service Fundamentals.

 

Essential Duties & Responsibilities

  • Operational Oversight
    • Direct and support front and back of house operations across conference facilities and remote venue locations, ensuring all food and service standards are consistently met or exceeded.
    • Ensure banquet spaces are site-visit ready and maintain a flawless presentation at all times.
  • Client Relations & Experience
    • Build and maintain strong relationships with on-site contacts, speakers, and group decision-makers.
    • Meet with clients before event start times and throughout the day to confirm expectations, address needs, and offer enhancements.
    • Review group schedules, note preferences, and identify opportunities to elevate the guest experience through personalized service and thoughtful touches.
  • Revenue Growth & Sales Support
    • Drive revenue by promoting banquet and catering services, audio-visual offerings, business center amenities, and resort outlets.
    • Support Group Sales through site inspections and assist with internal sales initiatives as needed.
  • Event Execution & Culinary Partnership
    • Collaborate with the Executive Banquet Chef and Culinary Team to uphold banquet standards, including food presentation, service standards, and agreed service times.
    • Partner with the Catering and Conference Services Team to preview, plan, and execute all banquet event orders (BEOs), including last-minute client requests.
  • Team Leadership & Development
    • Recruit, train, and retain banquet team members who exemplify Sandestin’s mission and service values.
    • Ensure team members maintain required certifications (e.g., ServSafe, responsible vending) and adhere to all insurance, legal, health, and safety regulations.
    • Promote cross-departmental communication and collaboration to achieve operational excellence.
  • Financial & Strategic Management
    • Monitor daily financials and maintain a strategic outlook on departmental revenue and annual goals.
    • Adjust operations as needed to meet or exceed financial objectives without compromising guest experience.
  • Additional Responsibilities
    • Promote teamwork across departments through regular communication and coordination.
    • Perform other duties as assigned by leadership.

Education & Experience Requirements

  • Bachelor’s degree in Hospitality Management, Business, or a related field preferred.
  • Minimum of 5 years of progressive experience in banquet operations at a property of comparable size or larger; prior experience as an Assistant Director of Banquets at a luxury brand is preferred.
  • Proven leadership skills with the ability to manage large-scale events and high-performing teams.

Required Skills

  • Exceptional communication skills, both written and verbal; ability to speak, read, write, and understand English is required.
  • Ability to interpret financial reports, legal documents, and complex schedules.
  • Strong presentation and relationship-building skills with clients, vendors, and leadership.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Collaborative leadership style with an “open door” policy to foster team engagement and address concerns.
  • Strong problem-solving skills with the ability to manage multiple priorities in dynamic environments.

Physical Requirements

  • Work occurs in both indoor and outdoor environments with varying conditions.
  • Ability to stand and walk for extended periods (up to 5 hours at a time).
  • Ability to maneuver quickly between simultaneous functions and venues.
  • Ability to lift up to 25 lbs. as needed.
  • Frequent bending, climbing, grasping, listening, hearing, and visual acuity (near vision and depth perception).
  • Manual dexterity required to operate standard banquet and office equipment.

Certificates/Licenses

  • None required at the time of hire. ServSafe and Responsible Vendor certifications strongly preferred or must be obtained upon hire.
