GENERAL DESCRIPTION OF POSITION:

Responsible for developing, documenting, leading, managing and monitoring the strategic work activities for healthcare/laboratory related revenue, operations and administrative services management to ensure their timely, accurate and profitable completion, from the initial planning stages to the final execution stages. Position ensures that associated proposals and relevant documentation is developed, all strategic activities and participants remain on schedule and task, and monitors communication and deliverables across all involved disciplines.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Synchronizes and plans client proposals, including project pricing, strategic project scope of work and all resultant operational and administrative deliverables. Reviews and collaborates based upon business partner transition plans, equipment plans, schedules and timelines. Partners with design, equipment, and transition planners and construction teams to develop project scope of work, relocation plan and proposals. Strategically leads the Hilldrup Healthcare team, client teams, business units, trades, and related cross functional services through project conversations before, during and after the physical project begins. Determines and develops criterion to meet the client's service need, create supporting programs, plans and proposals. Partners with other specialized trades and service entities to assist in develop supporting project information and/or program direction.   2. Manages the coordination for healthcare(medical/labs) relocations of infrastructure, assets, people and equipment. Recommends and suggest Hilldrup healthcare and laboratory standard protocols, process and procedures. Works closely with all internal and external customers to ensure adherence to industry healthcare standards and work environment policies. Verify the accuracy and approve of all project details, administrative effectiveness and efficiencies and margin preservation.
  3. Prepare and maintain project budget by collecting and managing all stakeholder information. Manage the associated Hilldrup team to obtain and manage the Purchase Orders and paperwork process for all stakeholders. Review and approve all project related invoices. Prepare and distribute RFP's for support services from the Hilldrup supply chain. Obtain client pre-approval for all change orders. Ensure Hilldrup healthcare team tracks and communicates all change orders to the project team.
  4. Negotiates with all affected parties to set timelines and communicates the completion of project phases. Manages the Hilldrup healthcare team to coordinate all vendors through the required steps to ensure successful completion within budget and time constraints. Ensures the Hilldrup healthcare team distributes appropriate documentation to project participants. Manages the team for notifications and coordinates changes with appropriate internal and external groups. Schedules and completes final building walk-through with key stakeholders. Conducts follow-up visits to all facilities upon completion of all projects, ensuring business partner satisfaction. Capable of taking on multiple roles with the healthcare team based on project and customer needs. Communicates tactical activities and how they affect project status, schedules, deliverables and margins.
  5. Develops systematic process and procedures, with associated documentation and flowcharts for an industry best practice Healthcare/Lab project process to differentiate Hilldrup.
  6. Recommend and explain software solutions to client and use client solutions: this may include several different types of client managed technology or Hilldrup supported technology. Manage documents in collaboration tools such as SharePoint, Drop Box, etc. Develop and manage project schedule in Microsoft Project and other scheduling software. Advise all key stakeholders of changes regarding project documents, process and schedule.
  7. Perform any other related duties as required or assigned

 

EDUCATION AND EXPERIENCE:

Four (4) year college degree, or equivalent experience resulting in broad knowledge of a field related to the job, plus 7 years related experience and/or training, and 12 to 18 months related management experience, or equivalent combination of education and experience.

COMMUNICATION SKILLS:

Ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, clients, general public and other employees of the organization.

MATHEMATICAL SKILLS:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, and volume. Ability to apply concepts such as fractions, ratios, and proportions to practical situations.

CRITICAL THINKING SKILLS:

Ability to solve practical problems and deal with a variety of known variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, or diagram formats. PLANNING Considerable responsibility with regard to general assignments in planning time, method, manner, and/or sequence of performance of your work, and the work of vendors and teammates. May also occasionally assist in the planning of work assignments performed by others (vendors, employees and clients) within a limited area of operation.

DECISION MAKING:

Performs work operations which permit frequent opportunity for decision-making of importance. Including decisions that could affect the work operations of clients, vendors and teammates. 

ANALYTICAL ABILITY / PROBLEM SOLVING:

Moderately structured. Fairly broad activities using moderately structured procedures with only generally guided supervision. Interpolation of learned things in somewhat varied situations. 

USE OF MACHINES, EQUIPMENT AND/OR COMPUTERS:

Regular use of complex machines and equipment (desktop/laptop computer and software.) 

PUBLIC CONTACT:

Extensive contacts with various diversified sectors of the public environment; wherein, the contacts are of major importance and failure to exercise proper judgment can lead to substantial losses to the organization. 

EMPLOYEE CONTACT:

Continuous contacts frequently involving difficult negotiations which require a well-developed sense of strategy and timing. Involves contacts with senior level internal teammates. SOFTWARE SKILLS REQUIRED Intermediate experience in MS Office, AutoCAD experience is preferred. Experience with an asset/inventory management

There are limited harmful environmental conditions that are present for this position. Communication, discussion, and documentation will be important with the respective clients, vendors, and teammates to manage. The noise level in the work environment is usually moderate.
