JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: Under the direction of the departmental and financial supervisor, the Regional Biocontainment Laboratory (RBL) Financial Coordinator performs financial and administrative duties for the RBL. This position monitors the departmental budgets, expenses, and recovery accounts, which include invoicing internal and external clients.

Responsibilities

DUTIES AND RESPONSIBILITIES:

  1. Develops budget analysis reports, prepares monthly reports, and performs account maintenance.
  2. Provides fiscal monitoring of budget, accounting, recovery operations, reporting, and record keeping.
  3. Initiates, reviews, and verifies purchase orders, invoices, and internal transfer vouchers/journal entries. Initiates correspondence regarding purchase orders and invoices for payment.
  4. Reconciles procurement and travel card accounts and ledger accounts.
  5. Processes bank deposit journal entries to be delivered to the cashier’s office for final processing.
  6. Creates requisitions and asset numbers; enters credit memos; and reviews and inputs time quota information. Purchases supplies and equipment and monitors the procurement processes for accuracy and compliance.
  7. Checks and verifies the accuracy of billing before invoices are mailed. Verifies transfer voucher before it is sent to the campus business office.
  8. Oversees travel and entertainment arrangements for staff, applicants, and guest travelers, including processing all initial authorizations and coordinating travel plans as well as expense reports.
  9. Files and maintains all personnel documentation records for the units.
  10. Serves as the main point of contact for the iLab research project and services request system, as well as maintains iLab user accounts and provides users with assistance.
  11. Creates and monitors departmental contracts with internal/externals for service and equipment, as needed.
  12. Performs an inventory check of all equipment and computers assigned to the units and updates inventory changes as needed.
  13. Performs other duties as assigned. 

Qualifications

MINIMUM REQUIREMENTS:  

 EDUCATION: High School Diploma or GED. (Bachelor’s Degree in Accounting, Business, or Finance preferred.) (TRANSCRIPT REQUIRED)

 EXPERIENCE: Five (5) years of experience in business, accounting, bookkeeping, data processing, statistical work, or a related field; OR Bachelor’s Degree and one (1) year of experience in business, accounting, bookkeeping, data processing, statistical work, or a related field; OR a combination of education and relevant work experience to equal five (5) years. 

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of data entry, spreadsheets, database accessible software, and accounting functions.
  • Excellent, analytical, problem-solving, and communication skills.
  • Skill in utilizing Microsoft Office.
  • Ability to perform accounting functions.
