About the Department
Under the direction of the Family Division Director, the incumbent will perform a variety of advanced and high-level technical, administrative, and para-professional duties for the Family Division within a large court. This role serves as an intermediary for the Director by maintaining regular communication with the public, leadership, administrators, judges, professional staff, and other state or local government officials.
Position Duties
Duties include, but are not limited to the following:
Coordinating schedules and managing an electronic calendar for the Family Division Director, which involves handling conflicting priorities.
Developing and maintaining relationships within the Family Division to identify opportunities for streamlining workflows, prioritizing key business activities, and making recommendations to the Director for changes in business processes.
Managing sensitive information and matters with high levels of confidentiality, sound judgment, and discretion.
Organizing and coordinating logistics for various meetings.
Screening and directing all visitors and phone calls.
Scheduling and organizing travel, conference schedules, and departmental activities.
Inventorying, requesting, receiving, organizing, and maintaining office supplies.
Ensuring that electronic and paper files are accurate and up to date.
Preparing Word, Excel, and PowerPoint presentations, agendas, reports, meeting minutes, special projects, and other documents.
Receiving, reviewing, and making necessary edits to documents prior to dissemination, and responding to written and verbal inquiries.
Performing other duties as assigned.
Minimum Qualifications
Associate’s degree in business administration or business management and two (2) years of advanced secretarial/administrative experience, which involved working with the public, office management, operational details, and some supervisory responsibilities. Any equivalent combination of relevant training, education, and experience will also be accepted.
Preferred Qualifications – fluent in Spanish.
