JOB DESCRIPTION 


The person in this position provides support to the Transportation Management/Dispatch team, answers phones, responds to radio calls, manages payroll processes, assists with routing and route information, submits work and purchase orders, and provides clerical support as needed.

CONDITIONS OF EMPLOYMENT

 

  1. High school diploma or equivalent.
  2. Must present transcripts of highest level of education within thirty (30) days of hire.
  3. Must be able to perform the essential functions of the position with or without reasonable accommodation.
  4. Must pass a basic skills test.
  5. Must be able to meet the Physical Demands of the position.
  6. Must pass a basic skills test with strong emphasis on math.
  7. Completion of Safe Schools Web Based Training within thirty (30) days of hire and yearly thereafter.
  8. Must pass a background check, which includes employee paid fingerprinting.

 

QUALIFICATIONS REQUIRED

  1. Strong math/accounting skills. Demonstrated ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to calculate figures and amounts such as discounts, interest and percentages.
  2. Proficient using computer programs such as Word, Excel, etc. Ability to function within various software programs.
  3. Evidence of experience and proficiency in all office procedures such as copying, filing, telephone etiquette, bookkeeping/accounting, and use of office equipment and computers.
  4. Demonstrated ability to define problems, collect data, establish facts and draw valid conclusions. 
  5. Ability to interpret and extensive variety of instructions and deal with several abstract and concrete variables.
  6. Evidence of ability to establish priorities and meet deadlines.
  7. Evidence of ability to work under pressure with numerous interruptions while maintaining a positive and appropriate attitude and routine.
  8. Evidence of ability to maintain confidentiality.

QUALIFICATIONS PREFERRED

 

  1. AA degree or equivalent, minimum of three years of secretarial or comparable work experience in a secretarial/clerical office setting.
  2. Knowledge of school district transportation policies, processes and guidelines.

 

JOB RESPONSIBILITIES

  1. Responsible for payroll reporting, adjustments and audits
  2. Process and track leave request forms and employee payroll. Reconcile the two by investigating for discrepancies. Process payroll information on the computer and provide accurate payroll data to the Payroll Department.
  3. Assist staff with payroll questions.
  4. Provide clerical support to the Transportation Manager and other members of the Transportation Department.
  5. Act as receptionist, answer telephone calls and refer to the appropriate supervisor or employee.
  6. Operate computer using word processing software to accurately compose, format, input, revise, combine, edit, print, and store various documents and reports, including payroll, memos, district and state reports, and other correspondence.
  7. Assist parents, staff, and/or public with bus route information.
  8. Enter data from bus route system into computer.
  9. Establish and maintain accurate files for driver training records, accident reports, personnel action changes, and other areas as assigned.
  10. Responsible for annual inventory documentation.
  11. Process and track the transportation material and service invoices, keeping an accurate running total for open purchase orders with local vendors, reviewing with the Transportation Manager as necessary; maintain inventory records.
  12. Prepare trip and motor pool billings on a monthly schedule.
  13. Complete budget and expense transfer requests for submission to the business office.
  14. Sort and route incoming mail. Locate and attach appropriate file to correspondence for further action by administrative staff as necessary.
  15. Schedule appointments, arrange travel schedules, reservations, and registrations for business purposes.
  16. Process work orders requests.
  17. Assist in preparation of transportation route bid documents and bid openings.
  18. File correspondence, records, and reports.
  19. Record minutes of staff and business meetings.
  20. Assist in paperwork necessary for employee hiring, trainings, in-service, etc. Maintain records to ensure driver qualifications and certifications are current at all times.
  21. Assist dispatchers by answering phone and radio calls and by notifying building officials of route changes, bus changes, late arrivals, departures, etc.
  22. Maintain vehicle inventory records by assisting in tracking vehicle maintenance, repairs, and shop costs.
  23. Assist drivers, attendants, and substitutes with payroll procedures and driver requirements.
  24. Perform all duties of the position within the scope of Kennewick School District policies and procedures, including regular attendance and punctuality.
  25. Perform other job-related tasks assigned by the Transportation Manager.

  • Physical Hazards: The noise level in this work environment is moderate. Employee will occasionally be required to walk in warehouse, crafts or technical shops where noise level may increase and physical hazards are present.
