Lead Medical Receptionist - Physical Therapy

Location - Physical Therapy Clinic - 5102 Transit Road, Depew, NY 14043

Schedule - two (2) 12-hour shifts and two (2) 8-hour shifts with Friday being a short day.  

The Lead Medical Receptionist (LMR) is required to perform all duties of a receptionist and function as the main resource person to reception staff at the assigned location. The LMR acts as a liaison between Physical Therapists, Physical Therapist Assistants and staff to assist in enhancing efficient patient check-in and check-out operations. Qualified candidates must have a solid background in using Medent, specifically appointment scheduling and verifying insurances. Additionally, this candidate must be detail oriented, responsible, dependable, efficient and have the ability to multi-task while remaining courteous, information, and empathetic towards patients and staff. The LMR reports directly to the site manager and is responsible for the following job duties;

Job Duties:

  • Schedules patient appointments and maintains daily/weekly/monthly schedules for PT providers. 
  • Verify insurances.
  • Assists in coordinating staff assignments.  
  • Schedule and establish coverage for reception staff, (absences, lunches, vacations). 
  • Supervise the reception staff in all activities to ensure high quality standards are met and that the facility and patient operations run smoothly. 
  • Assess new staff members’ strengths and development opportunities. 
  • Clearly communicate operational expectations/changes to reception and physical therapy staff. 
  • Assist in ordering office supplies to ensure appropriate stock is maintained. 
  • Support and execute direct patient check-in and check-out duties. 
  • Assist with recruiting, hiring, and training of reception staff. 
  • Perform comprehensive evaluations of the job performance of all receptionists on an annual basis. 
  • Ensure that the reception staff maintain the highest level of ethical and professional conduct. 
  • Support specific/task requests from upper management on an as-needed basis. 
  • Assumes other responsibilities as requested.

Qualifications 

  • Education Requirements 
    1. Associate degree preferred, High School Diploma or equivalent required 
  • Experience Requirements 
    1. Healthcare environment 
    2. Patient registration experience desired 
    3. Experience leading a team. 
    4. Medical Terminology 
    5. EMR experience required, Medent preferred. 
  • Skills and Competencies Requirements 
    1. Must be proficient in the use of all office equipment (computer, phone, fax, scanner, copier, etc.)  Superior communication and customer service skills. Must be detail oriented and have abilities to multi-task effectively while working in a fast-paced environment. Must also possess excellent organizational skills.
