Are you friendly, detail-oriented, and love being the first face people see when they walk in? Do you enjoy creating warm welcomes and staying organized in a fast-paced environment? If so, we’d love to have you join our team as a Part-Time Front Desk Receptionist!
In this role, you’ll be a key contributor to our HR team, responsible for ensuring every call, guest, and internal request is handled with professionalism and care. You’ll support our people and culture by welcoming guests at our front desk and providing essential clerical support that keeps our organization humming.
The hours for this position are 7:45 am – 12:30 pm Monday-Friday.
What You'll Do
Key responsibilities include:
Call Reception
- Answer all incoming calls via the main 6800 line and hot card line; route and/or take messages as needed.
- Direct and transfer callers to the appropriate person.
- Provide general information and route inquiries appropriately.
- Support the incoming Customer Support calls and case entry through the ticketing system when the dedicated receptionists are unavailable.
Greeting & Assisting Guests/Vendors, Employees, and New Hires
- Greet vendors and assign badges; send internal notifications when vendors are onsite.
- Greet and sign in visitors; assign visitor badges and ensure proper escort to destinations.
- Take new hire photos and send first day welcome email to employees.
Clerical
- Assist employees with UPS shipping and tracking.
- Manage certified mail for HR and other departments.
- Coordinate memorials for employees or other individuals as requested by leadership.
- Update service award boards and order nameplates quarterly.
- Create and update weekly video board slides that are displayed on corporate building TVs.
- Sort and distribute mail; deliver birthday and anniversary cards.
- Serve as backup for afternoon mail delivery to the Operations building.
- Laminate documents as needed.
- Schedule company vehicles and send booking confirmations.
- Record and submit monthly printer meter readings.
- Maintain front desk supplies.
- Manage United Way parking spot announcements monthly.
- Provide general HR administrative support.
Other
- Maintain a clean and organized front reception and personal workspace.
- Occasionally order and pick up food for celebrations (e.g., anniversary and retirement events).
- Perform additional duties as assigned.

Requirements
What We're Looking For
To be considered for this role, you'll need the following required qualifications:
- High School Diploma.
- At least 1 year of office experience in a receptionist or administrative role.
- Familiarity with office equipment such as multiline phone systems, printers/copiers, UPS shipping systems, etc.
- Basic proficiency with Microsoft Office (Word, Outlook, Teams) and the ability to learn custom software (e.g., video board tools).
- Strong written and verbal communication skills; ability to draft and send professional emails.
- Professional and pleasant phone demeanor.
- Flexible, adaptable, and responsive to changing daily needs.
- Self-motivated with the ability to work independently.
- Proven reliability and regular attendance.
- Ability to work the hours of 7:45 am - 12:30 pm Monday-Friday
