The Medical Receptionist serves as the first point of contact for patients and visitors, providing a welcoming and professional atmosphere in our outpatient setting. This position is responsible for greeting and registering patients, scheduling appointments, answering calls, processing referrals and orders, managing patient reminders, collecting payments, and supporting the daily operations of the clinic.

The incumbent will carry out all duties by adhering to the highest standards of ethical and moral conduct, act in the best interest of Three Crosses Regional Hospital, and support the organization’s mission, vision, and values.

Primary Responsibilities

  • Welcome and greet patients, families, vendors, pharmaceutical representatives, and other visitors to the medical office.
  • Obtain the reason for visit and check patients in and out using the Electronic Health Record (EHR) system.
  • Maintain and update patient accounts by obtaining, recording, and verifying demographic, insurance, and financial information.
  • Scan and upload pertinent patient documents into the EHR, including identification, authorizations, and insurance cards.
  • Record and collect patient charges and process payments accurately.
  • Schedule new and follow-up appointments using the medical office scheduling system.
  • Contact patients to confirm or remind them of upcoming appointments and provide arrival instructions.
  • Answer all incoming calls and voicemails promptly; relay messages and follow up as necessary.
  • Verify insurance coverage for scheduled patients and assist with obtaining prior authorizations when needed.
  • Send correspondence and release-of-information requests to external providers to ensure timely receipt of medical data.
  • Assist patients with completing forms and address questions with professionalism and empathy.

Education and Experience

  • Required:  High School Diploma or GED will consider equivalent combination of education and experience
  • Required: 1 year of experience as a receptionist. 
  • Preferred:  1 year of experience in a health care environment
  • Required:  Meet all Employee Health Requirement
