Yakima Valley College is accepting applications for an experienced and highly organized Dental Clinic Manager to oversee the daily front office operations of our teaching clinic. This role is pivotal in maintaining a smooth, compliant, and efficient clinical environment while supporting educational activities and fostering a positive atmosphere for staff, students, and patients. This is a 12-month classified position that reports to the Assistant Dean of Allied Dental Education Programs. Work is conducted Monday-Friday starting at 7:30AM.

Position Duties

  • Lead the daily operations of the Dental Hygiene Clinic front desk, including medical records, patient payments, and other pertinent business operations of YVCs Dental Programs.
  • Understands the Patient Services Coordinator and Dental Clinic Technician positions to provide reasonable coverage when staff positions are out of office.
  • Create operations manuals and ensure cross-training where appropriate for staff positions.
  • Prepares and coordinates clinic schedules of support staff.
  • Assist with contract generation.
  • Coordinate and carry out the necessary purchasing services, use of purchasing card, and reconciliation of budget.
  • Provide routine budget and operations reports to Assistant Dean.
  • Create and monitor travel tracking spreadsheets and support faculty and staff with travel submissions.
  • Coordinate the acquisition of student instrument and supply issue, such as handpieces and Cavitrons.
  • Provide updates to the dental leadership team to address issues.
  • Assist in planning, implementing, and interpreting policies and procedures related to the program.
  • Coordinate patient appointment flow in collaboration with the Assistant Dean of Allied Dental Education programs.
  • Serve as YVCs HIPAA Compliance Officer, working in collaboration with the Dental Clinic Technician and Assistant Dean of Allied Dental Education Programs.
  • Implement and monitor HIPAA policies and procedures.
  • Conduct regular audits and staff training.
  • Ensure the clinic remains compliant with state and federal laws.
  • Ensure proper functioning of dental equipment and facilities through collaboration with the Dental Clinic Technician.
  • Liaise with dental faculty, staff, and external vendors.
  • Supervise and support two staff members (Patient Services Representative and Dental Clinic Technician).
  • Delegate tasks effectively and foster a collaborative culture.
  • Conduct performance reviews and professional development.
  • Oversee patient billing, insurance claims, and reconciliation, share responsibility for entering daily information as needed.
  • Follow college and state fiscal policy and procedure to ensure clean audits, cash deposits, and billing reconciliations.
  • Collaborate with YVCs Business Office and the Workforce Fiscal Manager to manage budgets and expenses.
  • Address billing inquiries and resolve discrepancies.
  • Maintain patient records and clinic documentation, follow CODA accreditation, and Washington State records management protocols.
  • Supports academic programs by communicating with students, providing appropriate paperwork, etc.
  • Collaborate with BAS program coordinators as needed.
  • Develop and refine operational protocols to support student learning.
  • Provide information and advice to students, staff, program participants, and/or the public regarding program content, policies, and activities, recommend alternative courses of action; promote the program on campus with outside organizations.
  • Confer regularly with representatives of off-campus organizations and agencies regarding the interpretation and implementation of program and institutional policies.
  • Use word processing, graphics, statistical, spreadsheet, and/or database software regularly with a high degree of accuracy and speed.
  • Performs related duties as assigned.

Minimum Qualifications

MINIMUM QUALIFICATIONS:

  • Associate’s degree in business, healthcare, or related field.
  • 3 years of dental practice management experience.
  • Familiarity with dental billing software and electronic health records.
  • Proficient with Microsoft Office applications (Outlook, Word, Excel, PowerPoint) and electronic dental records (EDR).
  • 2 years of supervisory experience.
PREFERRED QUALIFICATIONS:
  • Bachelor's degree in business or healthcare administration.
  • Dental Assisting license.
  • Experience with equipment sterilization techniques and water testing.
  • Bilingual/Biliterate in English/Spanish.
ABILITY TO:
  • Obtain Cardiopulmonary Resuscitation (CPR) and Bloodborne Pathogens (BBP) certification within 30 days of hire.
  • Complete continuous process improvement, perform workflow analysis, and identify areas for improvement.
  • Communicate professionally and effectively with dental staff, leadership, and clients.
  • Lead through appropriate modeling of professional behavior.
KNOWLEDGE OF:
  • Family Educational Rights and Privacy Act (FERPA) & Health Insurance Portability and Accountability Act (HIPAA), and healthcare compliance standards.
  • Medical Billing and Coding.
  • Contract management.
  • Financial management and business acumen.
  • Dental insurance and compliance requirements.
  • Team building and conflict resolution.
