Duties and Responsibilities
1. *Assist with university class schedule creation using specialized scheduling software.
2. *Support the development and production of the university catalog using specialized catalog and curriculum software.
3. *Perform accurate data entry for records and scheduling information.
4. *Verify data accuracy through systematic review and comparison processes.
5. *Identify and flag errors or discrepancies.
6. *Ensure timely completion of tasks by monitoring administrative workflows; identify and address instances where processes have stalled or items were overlooked.
7. Troubleshoot common problems related to data management.
8. Communicate with faculty and staff to gather and verify information for publications.
9. Respond to and manage inquiries in a timely and professional manner.
10. Maintain and organize records and documentation according to the unit’s standards.
11. Coordinate and review the work of clerical personnel and/or student assistants.
12. Other duties as assigned.

Minimum Qualifications
1. Possession of a baccalaureate degree in arts and humanities, social science, science, education, business, or related field and 0 year(s) of progressively responsible professional experience with responsibilities for business or academic administration; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
2. Functional knowledge of principles, practices and techniques in the area of business or academic administration demonstrated by knowledge, understanding and ability to apply concepts, terminology.
3. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with records management.
4. Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of administrative data management and information workflow.
5. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
7. Demonstrated ability to operate a personal computer, apply word processing and spreadsheet software.
8. Demonstrated attention-to-detail and accuracy.
9. Demonstrated ability to accurately manage and input data.
10. Ability to manage a heavy workload with deadlines and shifting priorities.
Desirable Qualifications
1. Advanced software proficiency, particularly with spreadsheet software, database management software, document tracking systems, and/or project tracking tools.
2. Prior experience in a university administrative office, including but not limited to registrar's office, scheduling office, catalog office.
3. Familiarity with the University of Hawai`i at Manoa's campus map and college/departmental structure.
