Position Overview

The goal of the Doc Prep Assistant Manager is to help manage and coordinate all consumer, residential and commercial loan documentation and servicing functions, including document preparation, processing and servicing, and customer service.  In addition, this position communicates with bank management, officers with lending authority and representatives to promote efficient and correct workflow.

 

Primary Duties and Responsibilities

  • Consistently delivers outstanding client service with a friendly, can-do attitude, and willingness to help at all times.
  • Acts as a cultural ambassador to internal and external clients, providing a professional, exceptional, and supportive experience with each interaction.
  • Improves and creates operational systems, processes and policies to provide the highest quality client/borrower experience – specifically, create/support enhanced organizational planning, business processes, information flow and management reporting.
  • Helps to manage and develop a best-in-class team of documentation specialists.
  • Helps develop and maintain efficient workflows for all stages of document preparation and closing.
  • Supports internal and external audits by providing the required documentation.
  • Provides feedback on the CSI/TruStage loan documentation system, including ideas for modifying loan product templates.
  • Ensures all loans are documented and processed in accordance with established regulations, bank policies, and timelines. 
  • Helps manage document turnaround time expectation with the Lending Teams.
  • Serves as loan servicing point of contact backup with our secondary market loan investor(s), ensuring compliance with their standards.  Coordinates the purchase review and sale of the secondary market loans to the investor(s).
  • Serves as contact person for officers for daily updates, procedure changes, and projects.
  • Helps manage the Letter of Credit process including new and renewing letters of credit.
  • Stays current on compliance regulations by attending training and reading available information.
  • Trains personnel to ensure bank policies and procedures are being followed.  Ensures instructions, procedural manuals, and samples are maintained and provided to employees as resource materials.
  • Manages UCC filings, searches, renewals, and related collateral maintenance items.
  • Helps manage the processing of loans in non-accrual, charge-off, or OREO status.  Prepares related reports and administers systems to account for special assets.

Minimum Qualifications

  • 5 years of banking experience, including consumer and commercial lending operations experience 
  • High school diploma/GED   
  • Proficient in Microsoft Office suite

 

Preferred Qualifications

  • 4- Year Undergraduate Degree (e.g., BS or BA) preferably with a business or finance focus or equivalent combination of education and experience
  • Experience with Fiserv core banking software (Concentration on LAS Specifications)
  • Experience with MortgageBot
  • Experience with mortgage loan documentation and servicing regulations as well as familiarity with secondary market investor processes.
