Purpose of Role
Responsible for ensuring a seamless, efficient, and positive recruitment process that supports the organization’s growth and success. Partners closely with recruiters, hiring managers, and candidates to deliver an exceptional hiring experience by managing interview logistics, maintaining accurate applicant tracking system (ATS) data, streamlining processes, sourcing and pre-screening for entry-level positions, offer administration and supporting innovative talent acquisition initiatives.
Key Responsibilities and Expectations
- Manages scheduling of phone, video, and onsite interviews, balancing multiple stakeholders and time zones.
- Serves as a primary point of contact for candidates, ensuring clear communication and a positive experience throughout the hiring process.
- Partners with recruiters and hiring managers to align on interview logistics, candidate flow, and role-specific details.
- Assesses applicants’ resumes and applications for alignment with job requirements.
- Conducts phone or video screenings to evaluate basic qualifications, availability, compensation expectations, and cultural fit for hourly/entry-level positions.
- Manages the offer process including the preparation of offers, extending offers to candidates, and offer negotiations, while ensuring alignment with company policies, pay equity standards, and legal requirements.
- Supports hiring teams with interview best practices, timely feedback collection, and process adherence.
- Maintains accuracy and integrity of candidate data within the ATS, ensuring compliance with legal and regulatory requirements.
- Identifies opportunities to streamline and improve scheduling, communication, and reporting workflows.
- Tracks and analyzes recruiting metrics to support data-driven decision-making.
- Builds and maintains strong relationships with recruiters, hiring managers, and external partners.
- Coordinates with external staffing agencies as needed to support timely and efficient hiring.
- Contributes to the development and execution of creative strategies to enhance recruiting operations.
- Maintains awareness of industry trends and best practices in recruiting coordination to support continuous improvement.
- Partners with HR to ensure smooth handoff of candidates from offer acceptance to onboarding.
- Assists with employer branding efforts, ensuring the company’s culture and values are effectively communicated to candidates.
- Performs other duties as assigned.

Qualifications - Experience/Skills/Competencies
- Minimum 3 years experience as a Talent Acquisition Specialist or in a similar recruiting support role.
- Strong organizational skills and ability to manage competing priorities in a fast-paced environment.
- Ability to anticipate needs, problem-solve, and maintain high attention to detail.
- Passionate about delivering excellence in customer service.
- Demonstrated patience and professionalism when interacting with both internal and external customers.
- Proficiency with data entry, PDF software programs, Microsoft Word, Excel, and PowerPoint required.
- Demonstrated experience working with applicant tracking systems within an HRIS.
- Significant relationship building experience and a capacity to build and maintain professional alliances.
- Works with a strong sense of urgency and responsiveness.
- Adapts quickly to shifting hiring priorities and business needs.
- Ethical, with a commitment to company values.

Compensation
The base salary range for this position is ($50,700 - $68,000) inclusive of all geographical differences in the labor market. The base salary for the position will be determined based on factors such as the candidate’s work location, skills, education, and experience. In addition to those factors, we believe in the importance of pay equity and consider the internal equity of our current team members in determining any final offer. We offer a competitive benefits package including health, dental, vision, life insurance, paid time-off benefits, flexible spending account, 401(k) with employer match, and ESPP.
