Description

The Legal Office Coordinator is responsible for ensuring the efficient day-to-day operations of the firm’s Charleston office. This role supports attorneys, paralegals, and administrative staff by coordinating office functions, maintaining workflow, and promoting a professional and organized environment. The Legal Office Coordinator serves as a central point of contact for office management, vendor relations, and administrative processes. The ideal candidate will be professional, detail-oriented, and able to handle multiple tasks in a fast-paced legal environment

Qualifications


Responsibilities:

  • Greet and assist clients and visitors in a professional and courteous manner
  • Answer and route incoming phone calls; take messages as needed
  • Open, organize, and distribute incoming mail and packages; prepare outgoing and certified mail
  • Process and track invoices for client billing and office-related expenses
  • Maintain and order office supplies, ensuring appropriate inventory levels
  • Open, organize, and close client files in accordance with firm procedures
  • Maintain filing systems (electronic and paper) and ensure accurate record keeping
  • Coordinate with attorneys and staff to support daily administrative needs
  • Assist with special projects and general office tasks as assigned
  • Courier services as needed

Qualifications:

  • Prior administrative or legal office experience preferred
  • Excellent communication and interpersonal skills
  • Strong attention to detail and organizational abilities
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience with document management systems a plus (e.g., iManage, NetDocuments)
  • Ability to multitask and prioritize in a busy environment
  • Professional demeanor and strong customer service skills
  • Familiar with Microsoft Suite, iManage, and Outlook preferred, but not required
  • Ability to adapt to change (expected and unexpected) and balance competing demands in a fast-paced environment
  • Demonstrates effective teamwork and communication with team members, prioritizes assignments and work needs, and works well under occasional periods of pressure and short deadlines
  • Must be able to lift 30 pounds or more
  • High school diploma or equivalency required

This regular, full-time position has a competitive benefits package that includes medical/dental insurance, paid time off, paid holidays, and a Safe Harbor 401(k) plan. Salary range is based on experience. Hours are Monday - Friday, 8:30AM - 5:30PM.
