What are Trust Fund Positions?
Trust Fund positions are unique to the Smithsonian. They are paid for from a variety of sources, including the Smithsonian endowment, revenue from our business activities, donations, grants and contracts. Trust employees are not part of the civil service, nor does trust fund employment lead to Federal status. The salary ranges for trust positions are generally the same as for federal positions and in many cases trust and federal employees work side by side. OVERVIEW

The Smithsonian Campaign for Our Shared Future will secure funds for all Smithsonian museums and centers as the institution reimagines its mission to find solutions for collective challenges in a rapidly changing world. The campaign will provide a foundation for critical research to ensure people and nature thrive together, build unparalleled education programs with families and partners, collect the world’s most precious objects, document the present while reflecting on the past, and reimagine the visitor experience both in-person and online. We are bringing the Smithsonian off the National Mall and across the country through dynamic programming and affiliate partnerships, creating access for all. 
 
Smithsonian's National Zoo and Conservation Biology Institute includes a 163-acre exhibition complex in the District of Columbia, within the US National Park Service's Rock Creek Park, and a 3,200-acre conservation research facility outside Front Royal, Virginia, contiguous with the Shenandoah National Park and the Appalachian Trail. The Institute’s goals include excellence in animal care, research on endangered species, and education and high-quality visitor experience. 

DUTIES AND RESPONSIBILITIES

This position is in the Special Events Office, Office of Advancement, National Zoo and Conservation Biology Institute (NZCBI). The Office of Advancement, including Special Events, raises funds from the private sector to support the research, exhibitions and public programs of NZCBI. The Special Events Office raises funds through developing and managing sponsored events and through support of events for NZCBI and SI.
 
The external events program is designed for corporate, association, and other sponsors, ranging in scale from intimate gatherings of fewer than 100 guests in select public areas to large-scale events hosting several thousand guests across the entire facility. These events require close coordination with building operations, security, horticulture, audiovisual, engineering, and a variety of external vendors including caterers, florists, musicians, transportation companies, and printers, as well as the event sponsors themselves.
 
The incumbent manages more than 100 NZCBI events annually, including high-profile ticketed programs such as Boo at the Zoo, Zoo Lights, and Night of the Living Zoo; exhibition openings; press conferences; donor recognition ceremonies; visits by heads of state and other dignitaries; as well as receptions, luncheons, and formal dinners hosted by the Director, the Secretary, and other Smithsonian officials. Guests frequently include corporate executives, celebrities, congressional staff, Members of Congress, Supreme Court Justices, and senior Administration officials. The incumbent brings at least 8–10 years of experience in nonprofit special events management to successfully plan and execute these complex, mission-critical programs.
  • Manages the NZCBI Office of Special Events and develops long-term plans and strategies for all NZCBI events including large-scale public events such as Boo at the Zoo and Zoo Lights, internal donor and VIP events, and external rental events. 
  • Formulates NZCBI policies and procedures for sponsored and NZCBI/SI events. Has pre-determined annual revenue goals and business plan to meet goals set by the Director of Advancement. 
  • Participates in strategies for marketing special events including destination planning guides, hospitality events and familiarization tours.
  • Supervises staff of two to four employees and potentially two to three interns. With guidance from the Director of Advancement Operations and Engagement, develop annual work objectives and, with individual employees, creates performance plans to support objectives. 
  • For NZCBI events, as needed, plans appropriate menus, guest lists, decor, music, seating arrangements and transportation. Obtains prices and terms from caterers, florists, musicians, printers, transportation companies, and other vendors.
  • Schedules and coordinates events from initial meetings through event production, breakdown and cleanup. 
  • Manages event, coordinating logistics with all players and resolves problems on the spot.
  • Reviews and approves invoices for payment to vendors and SI support offices.
  • Perform other duties as assigned.

QUALIFICATION REQUIREMENTS

The successful candidate must have:
  • Strong leadership and communications skills, and a record of accomplishment in building consensus with internal and external stakeholders. 
  • Progressive special events experience, experience with diverse constituents, and a drive to succeed should be demonstrated in your application. 
  • Strong organizational skills and the initiative and ability to work independently, and a mature and professional demeanor. 
  • Experience with complex higher education or a large cultural organization is preferred. The position is based in Washington, DC and reports to the Director of Advancement Operations and Engagement.
Education completed outside the United States must be deemed equivalent to higher education programs of U.S. Institutions by an organization that specializes in the interpretation of foreign educational credentials.
