Job Summary

 

The Operations Manager is responsible for overseeing the daily operations of both the Data Services and Donation Processing for our clients. This role involves leading a team of employees in Donation Processing, ensuring efficient workflow, maintaining data accuracy, and meeting production deadlines. The Operations Manager will utilize their leadership skills and business acumen to drive operational excellence, enhance productivity, and maintain a positive work environment.

 

Responsibilities and Activities:

  • Hires, trains, mentors, and coaches a team of data processing and donation processing employees.
  • Conducts performance reviews, sets goals, and implements progressive discipline when necessary.
  • Fosters a positive and inclusive workplace culture that promotes diversity and teamwork.
  • Plans, directs, and coordinates work assignments for both data processing and donation processing teams.
  • Implements schedules, allocates resources, and ensures adherence to service level agreements.
  • Monitors equipment functionality and ensures staff compliance with production standards.
  • Tracks and analyzes production data, quality metrics, labor utilization, and backlog to identify improvement opportunities.
  • Manages data processing activities, including data entry, validation, cleaning, and reporting.
  • Maintains and updates donor databases and CRM systems, ensuring data accuracy and consistency.
  • Monitors data quality and implement corrective actions as needed.
  • Collaborates with the Strategic Planning committee and Client Services to implement continuous improvement initiatives.
  • Encourages and supports employee suggestions for process enhancements.
  • Works with other departments to resolve issues and improve overall operational effectiveness.
  • Communicates effectively with management, clients, workflow coordinators, client services, and vendors.
  • Provides regular reporting and analysis on production data, quality, labor management, process improvements, and backlog.
  • Performs additional responsibilities as needed to ensure the team's success.
