Registrar, Bank Street College, Graduate School of Education

Summary

The Registrar provides leadership and oversight of all registrar functions to ensure the highest quality of service and integrity in the student experience at Bank Street. The Registrar is responsible for accurate and efficient student record-keeping from matriculation through graduation, as well as ongoing alumni support. This includes supervision of registration activities, academic records management, graduation audits, and direct support to students and faculty. Reporting to the Associate Dean of Enrollment Management and Student Success, the Registrar is responsible for the following work: 

 

Key Responsibilities

Enrollment & Registration 

  • Manage and maintain student academic records, including individual student records post-enrollment, providing support and advisement to students and faculty as appropriate
  • Support matriculation in collaboration with other Enrollment and Student Success departments and Business Systems/ IT 

  •  Oversee all registration, including batch and manual registration; collaborate with Department Chairs, Program Directors, IT/Business Systems, and other relevant Graduate School offices to ensure prompt and accurate registration of all students

  • Support creation and maintenance of course catalog in partnership with Business Systems/IT 
  • Degree program changes, deferrals, leaves of absence, withdrawals, and returns 

  • Ensure completion of all degree audits both for commencement and degree conferral, including lists for commencement and exceptions to the graduation walk policy 
  • Track and maintain academic records, including academic probation in collaboration with Department Chairs and the Committee on Academic Standing; take appropriate action as needed
  • Oversee the distribution of academic transcripts and diplomas
  • Continuously evaluate systems for efficiency and accuracy and make recommendations for systems enhancements as appropriate
  • Collaborate with all academic partners in the processing and oversight of academic records, including program work done with other academic institutions and partnership organizations

 Policy Adherence & Student Data Maintenance 

  • Provide leadership and oversight of record-keeping and data integrity 
  • Monitor adherence to academic policy, registration, and enrollment policies; maintain and update all student documents, records, and transcripts, graduation and degree requirements, and calendar and scheduling policies 
  • Oversee records management, ensuring accuracy, access, document retention, and adherence to FERPA privacy law
  • Review and make recommendations regarding student policy exceptions and process changes 
  • Monitor and verify student enrollment, preparation of enrollment reports for internal and external audiences, including auditors and accreditors, as needed; reports include Title II, IPEDs, HEDS, and Postsecondary Immunization Survey among others 

Supervision & Mission Support

  • Supervise Registrar staff of four to ensure the timely, accurate, and caring support to all students and faculty

  • Serve on the Enrollment Management and Student Success (EMSS) leadership team, supporting institutional decision-making, identifying issues before they escalate, collaborating with the entire EMSS team toward the goal of serving students to promote success at Bank Street.

  • In collaboration with the graduate school communications team, oversee all communication and resources with students and faculty regarding Registrar Office business
  • Serve on Graduate School committees, as assigned, and attend Deans and other leadership meetings as appropriate

 

Desired Experience, Attributes and Style

  • 6-8+ years of progressively more responsible experience in student records/registrar functions and enrollment management for on-campus and online programs. Working in a setting that serves graduate students is a plus.

  • Successful track record of leading and supervising staff to implement innovative solutions and achieve the highest standards of service and data integrity.

  • Master’s degree required

  • Demonstrated experience in leading a team in best practice student records management, implementation of innovative solutions and achievement of the highest standards of service and data integrity.

  • Strong leadership, analytic, management and people skills. Excellent track record working collaboratively with faculty, administration and students.

  • Excellent interpersonal abilities, strong written and verbal communication skills.

  • Solid understanding of teacher/leader preparation programs, including certification requirements for teachers and school building leaders; knowledge of New York State requirements is desirable. 

  • Experience with Blackbaud student information system is a plus.

Bank Street College of Education will offer a highly attractive annual salary and benefit

package to the hired candidate.
