Position Summary:
The Senior Payroll Specialist will process payroll functions for accurate and timely distribution and compliance with government regulations. Maintain accurate records of payroll documentation and transactions for bi-weekly payroll for multiple legal entities. Address and resolve employee payroll issues, ensuring data accuracy and compliance with tax regulations. Support cross-functional departments and internal audits related to payroll accounting and tax activities.

Responsibilities:
- Payroll Processing and Compliance: Prepare and review bi-weekly payroll packages for multiple legal entities to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions. Maintain accurate records of payroll documentation and transactions. Ensure accuracy of payroll data transmission by documenting and reviewing all pre- and post-processing payroll reports. Verify payroll tax accuracy and state compliance. Reconcile W-2s. Manage and administer the business registration process for new states and localities for payroll tax accounts. Respond to and correspond with state, federal, and/or local government institutions on tax notices. Prepare reporting requirements for state incentive programs.
- Financial and Accounting Support: Calculate, adjust, and process sales commissions. Prepare bi-weekly journal entries and month-end accruals for payroll, Paid Time Off (PTO), commissions, and bonuses. Prepare monthly benefit allocation journal entries. Prepare month-end account reconciliations. Support audit tasks related to payroll accounting, 401K, workers compensation and payroll tax activity.
- Employee and Cross-functional Support: Address and resolve employee payroll issues. Coordinate with and support cross-functional departments with payroll-related activities and matters. Support and participate in collaboration activities to promote and implement continuous process improvement. Research and prepare reports for management.
- Other Duties: Perform additional tasks, duties, and responsibilities as needed or assigned by leadership to support departmental and organizational objectives
Qualifications:
- High school diploma or equivalent (e.g., GED) required
- Associate�s or bachelor�s degree in accounting or a related field preferred
- Minimum of five years of previous payroll experience to include processing complex payroll tasks, answering inquiries from taxing authorities, and a solid understanding of earnings and deduction taxation required
- Experience at a large scale and growing company preferred
- Medium to advanced level experience with Microsoft Excel required
- Proficiency with cloud-based payroll system required
- Paycom Software experience preferred
- Knowledge in year-end tax reporting and 401K/Benefits deductions required
- Knowledge of current payroll processing laws and regulations required
- Experience in finding solutions to technical payroll, tax, and systems related issues preferred
- Energy and desire to thrive in a fast-paced organization with flexibility as needed required
- Strong understanding of internal controls and compliance preferred
- Ability to multitask, prioritize, and plan work activities required
- Detail-oriented team player with a desire for continuous improvement required
- Ability to work effectively with minimal supervision required
- Excellent written and oral communication required
- Strong analytical and problem-solving skills, the ability to troubleshoot and reconcile data from disparate systems required
- Ability to establish and maintain relationships with internal and external stakeholders required
