The Executive Assistant serves as the primary point of contact on all matters pertaining to the CEO and works in close coordination with the Director of Executive Operations. This role also provides limited administrative support to other CxO-level executives as needed. The Executive Assistant acts as a liaison to the board of directors and senior management teams, organizes and coordinates executive events, and oversees special projects.
Essential Functions/Job Duties
- Manages a broad range of administrative tasks for the CEO, including calendar management, expense reports, correspondence, and complex travel arrangements.
- Supports the CEO and, as needed, other CxOs by preparing materials, coordinating meetings, and ensuring timely follow-up on key initiatives.
- Acts as a gatekeeper and liaison, facilitating communication between the CEO, internal departments, and external stakeholders.
- Maintains discretion and confidentiality in all interactions, particularly with board members and senior leadership.
- Collaborates with the Director of Executive Operations to ensure alignment on executive priorities, project execution, and organizational communication.
- Provides board support, including travel logistics, meeting materials, and compliance with bylaws.
- Participates in executive team meetings, supports agenda planning, and ensures the CEO’s bio and materials are current.
- Leads or assists with special projects that may have organizational impact, often under tight deadlines.
- Travel may be required for planned events held outside the office.
Skills/Qualifications Required
- 4-7 years experience supporting C-Level Executives.
- Strong administrative, organizational, and project management skills with the ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills; able to draft high-quality correspondence and reports.
- Proven ability to exercise sound judgment, maintain confidentiality, and handle sensitive matters with discretion.
- Demonstrated ability to work independently and collaboratively, including with C-level executives and board members.
- Proactive, resourceful, and adaptable team player who anticipates needs and proposes solutions.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat.
- Experience supporting C-level executives, with a strong customer service orientation and attention to detail.
This position requires regular onsite work at our Carmel, Indiana office. Candidates must be able to commute to and work from this location as part of their role.
