About the Department
The Strategic Systems Leadership division within the Human Services and Public Health (HSPH) department is hiring a Somali bilingual Office Specialist III. Daily tasks include greeting residents, checking in residents, ensuring residents are routed to appropriate onsite service, assisting in the Technology Access Space, and onsite accounting services. Assignments are delegated by the Supervisor and/or the Principal Office Specialist to ensure continued onsite coverage of various tasks.

Location and hours:
This position is onsite and will be located at the Health Services Building Central Northeast Human Service Center at 525 Portland Avenue South, Minneapolis, MN 55415. You will also assist with coverage as assigned at the various Human Service Centers/Satellite offices located in Brooklyn Center, North Minneapolis, South Minneapolis, and Bloomington. Work hours will be Monday through Friday from 8 a.m. to 4:30 p.m. New Employee Orientation (NEO) for all new benefit-earning employees is in-person in downtown Minneapolis. Details about NEO will be provided upon hire.

In this position, you will:
- Meet and greet clients and assess their needs.
- Screen clients by asking predetermined questions to assist teams in determining appropriate next steps.
- Process and/or update data in the various State and Hennepin County systems.
- Attend and participate in monthly staff meetings.
- Update and assemble procedure manuals.
- Maintain inventory and order office supplies, forms, and packets as needed.
- Cross-train on multiple tasks within the service area and HSPHD.
- Schedule meetings and check calendar availability for meetings using Microsoft Outlook.
- Issue, record, and/or research Electronic Benefit Transfer (EBT) cards.
- Issue and record emergency payment authorization checks and pay cards to residents/workers.
- Process physical and digital mail, Medical Assistance for Employed Persons with Disabilities (MAEPD) payments, replacement checks requests, claim benefit overpayments, and record transactions.
- Disburse bus cards and/or gas cards to residents.
- Record daily work in stat tracking tool.
Need to have:
- One of the following:
- Two years or more of office clerical experience.
- Two years or more of related post-high school education.
- 18 months or more of office clerical experience and completion of the Office Specialist Pathway Training program.
- One year or more of office clerical experience and completion of the Human Services Pathway Training Program.
- Ability to communicate fluently in Somali in addition to English, both verbally and in writing.
- Experience:
- Performing administrative tasks including taking meeting minutes on a rotating basis for unit meetings and helping with special projects or other tasks as assigned.
- Working with computers and knowledge of Microsoft Office applications such as Outlook, Word, Excel, and SharePoint.
- Working in guest relations, at a front desk or check-in, or another similar occupation.
- Delivering excellent customer service assisting people in-person.
- Providing service in a culturally diverse setting.
- Working with clients who do not speak English.
- Ability to:
- Proofread numbers, correspondence, and other written materials for spelling, grammar, and format accuracy.
- Handle multiple problems and assignments simultaneously, and work independently with minimal direction.
- Deal with the residents, community partners, and staff members with tact and discretion.
