The Council on Recovery is a 501(c)(3) not-for-profit organization whose mission is to keep our community healthy, productive and safe by providing services and information to all who may be adversely affected by alcohol, drugs, and related issues.
The Clinical Administrative Coordinator for outpatient programs works directly under the supervision of the Operations Manager. The position is responsible for the day-to-day office operations, including data entry, clinical tracking, scheduling and client care coordination.
JOB RESPONSIBILITIES
- Provide timely, professional assistance to clients by phone and email.
- Maintain a thorough understanding of The Council on Recovery’s services and operations; facilitate clear communication between departments as needed.
- Connect clients to services by scheduling appointments and completing screening/referral documents as appropriate.
- Maintain ongoing client contact, including service follow-up calls, appointment reminders, and rescheduling sessions.
- Prepare and conduct intake and orientation sessions with clients.
- Provide administrative support to department leaders and staff, including copying, filing, scanning, editing, ordering supplies, scheduling, and arranging training or travel.
- Greet clients, prepare folders/binders, and set up rooms for clinical use.
- Verify insurance, enter data into the Electronic Health Record (EHR), and follow up with clients as needed.
- Maintain accurate client records, ensuring all information, forms, and consents are complete and up to date in the EHR databases.
- Run reports from the EHR database as assigned.
- Assist with departmental expense reports as needed.
- Complete timesheets and attend scheduled meetings.
- Ensure confidentiality and professionalism in all interactions and documentation.
- Perform other duties as assigned.
Requirements
- High School Diploma or equivalent required
- Data entry experience required
- Computer and word processing skills required
- Good communication and organizational skills required
- Good customer service skills required
- Experience with electronic medical record preferred
- Experience with client charts, insurance, and knowledge of HIPAA preferred
- Positive and optimistic attitude
