What we are looking for:

We are seeking an Office Manager who will be responsible for the coordination and support of various projects supporting our corporate office.  The role will actively participate in the day-to-day operations to ensure the office remains organized to operate in an effective and efficient manner. 

What you will do:

The primary responsibilities for this role will include performing administrative support functions, such as the following:

  • Establish and maintain day-to-day office functions including managing vendors for office purchases, shipping, maintenance calls and stocking deliveries 
  • Assist with preparing reports, presentation materials and routine correspondence with exceptional attention to detail, accuracy and confidentiality.
  • Screen incoming calls and correspondence and respond independently when possible. Deliver mail and clear voicemail daily.
  • Compose and prepare confidential correspondence, reports, and other complex documents (using Microsoft Office Suite applications).
  • Coordinate and assist with planning off-site events, such as leadership meetings, business development, operations and marketing meetings.
  • Support the planning and execution of signature company events—such as our annual meeting, company picnic, and holiday gathering—that bring our team together and strengthen culture.
  • Contribute to the planning and rollout of distribution plans that bring our Craft Recognition Program to life.
  • Engage in sensitive and confidential matters while protecting the security of the information.
  • Assist with AP/AR coding and entry and enter data into business systems such as Vista.
  • Manage the credit application process to ensure timely and accurate set-up of new vendor accounts.
  • Perform these additional duties.
    • Answer incoming calls and greet visitors.
    • Ensure that office supplies are ordered and available as needed.
    • Retrieve and distribute mail.
    • Prepare documents and copying for estimating and operations support.
    • Manage all office kitchen supplies and upkeep.
  • Perform additional assignments per supervisor's direction.

To be successful in this role:

  • 5+ years of administrative experience
  • Microsoft Office experience including Word, Excel, PowerPoint, and Outlook required.
  • Demonstrate a cooperative attitude and effective interpersonal and communication skills with clients, coworkers, and vendors.
  • Demonstrate decision-making, problem solving and analytical skills with particular attention given to detail and accuracy.
  • Demonstrate flexibility and the ability to work as a member of a team.
  • Ability to exercise independent judgment and employ reasoning skills.
  • Ability to maintain strict confidentiality.

Work Environment:

  • This position is primarily indoors.
  • This work environment may involve minimal exposure to unusual elements, such as extreme temperatures, dirt, dust, fumes, smoke, unpleasant odors and/or loud noises.
