Walnut Hill School for the Arts has an immediate opening for an Associate Director of Summer Programming & Rentals.

The Associate Director of Summer Programming & Rentals is responsible for the planning, administration, management and supervision of summer programs and rental operations. This is an innovative position with a unique opportunity to build and sustain a new Summer Day Camp for elementary school students, and manage the vibrant suite of Summer Intensive Programs that support the mission of Walnut Hill. 

This role works closely with a Camp Director during the Summer Day Camp weeks to build a robust program that can thrive and grow in the following summers. The Associate Director also manages the intake for rental requests for use of Walnut Hill’s facilities, and facilitates contractual agreements between third parties and the School. The ideal candidate is an experienced manager with exceptional recruitment, project management, organizational, and operational skills. 

All Walnut Hill faculty/staff are active and engaged members of the school community who are committed to collaborating and growing in their field, participating in School events, supporting students in their arts, supporting other faculty/staff members, and who have the ability to self-reflect on their own practice. This is a 12-month position reporting directly to the Director of Strategic Marketing & Communications.

Responsibilities include but are not limited to:

Summer Program Duties:

  • Manage the planning and execution of all Summer Intensive Programs including budget, hiring, and training;
  • Work with Walnut Hill faculty to determine timing and offerings of programs and the recruitment and hiring of instructors;
  • Create application portals for portfolio submissions;
  • Maintain contact with applicants and parents/guardians throughout the application process;
  • Launch the new Summer Day Camp initiative; recruit, hire, and train a Summer Camp Director, Counselors, and Instructors as needed;
  • Develop daily/weekly schedules for activities during Camp weeks;
  • Seek out marketing opportunities that cater to the Camp vision and identify regions that Walnut Hill should promote to;
  • Work with vendors and the Walnut Hill facilities team to solidify space needs;
  • Develop detailed outreach plan to engage and recruit students for all summer offerings;
  • Identify and follow up with participants who have strong potential to convert to main School prospects;
  • Create, maintain, and manage a detailed budget reflecting expenses and incoming revenue and plan for program needs; communicate budget and plans and set expectations with summer program directors; and
  • Other duties as assigned.

Summer Residential Life Duties: 

  • Plan and assign students to residence halls; 
  • Manage summer faculty/staff resident assignments; 
  • Hire and train Resident Assistants (RAs); 
  • Manage the schedule of the administrator-on-call phone and support team members who are on call; serve as administrator-on-call and respond to emergencies as needed; 
  • Partner with facilities staff to ensure housing and dormitories are ready for summer; and
  • Other duties as assigned.

Rentals: 

  • Act as point of contact for incoming rental requests and facilitate contracts, insurance and liability documentation, and determine rental rates in consultation with School Administration;
  • Schedule rentals appropriately throughout the year and work with the Director of Events & Production and the Director of Facilities & Operations to ensure rentals do not interfere with other programs; 
  • Work with Campus Safety & the Business Office regarding background checks and campus access; and
  • Other duties as needed.

Collaboration, Professional Development, and Training 

  • Work collaboratively with colleagues across all departments to foster a positive working and educational environment for students, campers, and employees to support the School’s mission, vision, and core values;
  • Attend and participate in all faculty and staff meetings and department meetings;
  • Participate and engage fully in individual reviews and evaluations; be open to feedback and work with supervisor to set goals and expectations for the future; 
  • Attend and participate in all Professional Development (PD) days, training programs, orientation programs, benefit meetings, mandatory seminars, team-building exercises, and safety training/drills;
  • Pursue PD opportunities in and out of school; and
  • Display willingness and ability to grow, learn, explore new approaches, and practice self-reflection.

Administrative and Additional Responsibilities 

  • Keep records of correspondence with vendors, families, and students as appropriate; utilize Walnut Hill’s platforms to create and disseminate information;
  • Complete required paperwork, forms, surveys, employment documents, background checks, fingerprinting, online training programs, request and report absences, accidents, and injuries, and follow other school policy and legal requirements by established deadlines;
  • Perform other administrative or educational duties as assigned by the Director of Strategic Marketing & Communications or his designee.

Community Involvement & Engagement 

  • Actively participate in the student community by supporting the Student Life program which may include serving as a faculty or club advisor, chaperoning School events, providing weekend duty (4 per year), or other opportunities for community involvement that arise throughout the school year; 
  • Speak authentically about the imperative for Diversity, Equity, Inclusion, and Belonging (DEIB) in schools;
  • Attend and participate in communal programs outside the classroom including but not limited to assemblies, guest speaker engagements, and special programs; model and encourage appropriate behavior and monitor students during events and programming; and
  • Attend student performances, art openings, showcases, and special events throughout the year.

Skills & Qualifications

  • Bachelor’s degree or equivalent experience required;
  • Demonstrated experience in the development and management of innovative programming (summer programming or camp experience a plus);
  • Excellent project management and organizational skills;
  • Well-developed commitment to collaborative leadership; strong supervisory skills and ability to delegate duties appropriately;
  • Self-starter with the ability to work independently and effectively in a changing, fast-paced environment;
  • Share an educational and artistic vision that aligns with the core principles of Walnut Hill;
  • Exceptional communicator with outstanding verbal, written, analytical, time management, and interpersonal skills;
  • Ability to handle competing priorities with professionalism;
  • Ability to create and maintain budgets and reports;
  • Commitment to and strong understanding of cultural competency;
  • Strong computer skills and demonstrated proficiency with Google applications; and
  • Passion and excitement for arts education and programming.

Physical Demands

Physical demands include dexterity for office machine and supply operation including but not limited to writing, using electronic devices, computer, phone, copy/fax machine, and printers. Dexterity and strength to use medical equipment, administer first aid/CPR, and respond to situations across campus. Walking, stooping, bending, reaching, pushing, pulling, ascending/descending stairs, and sitting or standing for extended periods of time are common. Ability to lift up to 25lbs required.
