There is one (1) full-time opening in the Engineering Admin division of the Public Works Department. Under general supervision, the Administrative Aide completes a wide variety of routine administrative assignments and research. The ideal candidate for this position will: possess strong communication skills with the ability to communicate effectively both orally and in writing; possess excellent critical thinking skills; be able to adapt to changing assignments and situations; be detail-oriented; and work well in a team environment.

The Engineering division position will be responsible for a range of duties that support the department’s overall operations. These may include assisting in the review and submittal of staff reports, conducting preliminary monthly reviews and calculations of permit invoices, and providing support at the Engineering Permit counter. Additionally, the position will be tasked with fielding public inquiries, ensuring effective communication and customer service for residents and visitors. This role may also serve as the recording secretary, taking and transcribing meeting minutes and maintaining accurate records for City and departmental meetings and hearings.

Position Duties

  • Assists members of management and technical staff by performing basic administrative assignments;
  • Prepares a wide variety of written materials, including correspondence, reports, invoices, procedure guides, instructions, forms, and other administrative devices;
  • Reviews, proofreads and summarizes publications and documents;
  • Performs preliminary analyses of administrative procedures and budgets;
  • Responds to requests for information;
  • Gathers and tabulates data and prepares reports;
  • May attend various City and staff meetings;
  • Perform other related duties as assigned.

Minimum Qualifications

EDUCATION & EXPERIENCE:
An Associate's degree or equivalent units (at least 60 semester units) in with major work in public administration, business administration, political science or a related field from an accredited university is required. No experience required.

KNOWLEDGE OF:
Basic principles and methods of public administration; principles of management and organization; statistical and research methods; administrative survey techniques; graphic and tabular presentation of data; fundamentals of data processing; customer service techniques and principles; computer programs including Word, Excel and PowerPoint.

ABILITY TO:
Follow directions and make sound analyses and evaluations; do research, evaluate data and prepare clear and comprehensive reports; establish effective working relationships and communicate courteously and diplomatically with all those encountered in the course of work; operate a computer; communicate effectively both orally and in writing; commit to providing quality customer service.

OTHER REQUIREMENTS:
A California class C driver license and an acceptable driving record are considered highly desirable. An acceptable driving record is one that has three (3) or fewer DMV points issued within the past five (5) years, and no more than one (1) DUI within the past ten (10) years.

Incumbents in this classification speak clearly, hear normal voice conversation, work on a personal computer, sit, see small details, use a telephone, sit, and distinguish shades/color vision.
