5.5 Hours/Day, 12-Month Work Year (9:30 am - 3:30 pm with 30 minute break)

Employee Benefits Summary

Role Overview
This position is responsible for supporting the operation of the human resources benefits team to ensure that a qualify benefit package is provided to employees and retirees.

Minimum Requirements
High School Diploma/GED
Three years of administrative experience and/or training.
Demonstrated advanced skills in a variety of software and electronic communication tools, including MS Office Suite (Outlook, Word, Excel, PowerPoint, etc.) and Google Apps.
Proficient word-processing skills with the ability to produce grammatically correct documents and correspondence.
Ability to maintain strict confidentiality of sensitive employee information.
Ability to multitask, organize, and prioritize within a fast-paced office environment.
Demonstrated positive human relations skills, including phone, email, and in-person interactions.
Ability to manage and conduct projects within the department as assigned by human resources administrators.
Regular and predictable attendance is an essential function of this position.
The ability to perform the essential functions of the job with or without reasonable accommodation.

Preferred Qualifications
Associate’s degree or higher.
Three (3) years of successful experience in a human resources environment and/or working with one or more of the following: medical, dental, vision and prescription benefits/claims, life insurance and long-term disability benefits/claims, 125 Plans, EAP (Employee Assistance Program), FMLA (Family Medical Leave Act), COBRA, retirement benefits (both defined benefit and defined contribution plans), and/or workers’ compensation processing.
Working knowledge of Board of Education policies and procedures.
Public sector and/or K-12 educational experience.
Excellent verbal and written communication skills.
Familiarity with a wide variety of technology tools and their use; including Microsoft applications (Word, Excel, PowerPoint, Access, OneNote, Outlook, Publisher), Google Apps, videoconferencing technology, Tyler Munis, HUB, UKG, Frontline, etc.
Ability to obtain MSRA (Maryland State Retirement Agency) retirement coordinator designation.

Role Responsibilities
Maintain high level of confidentiality in conducting office business/assignments.
Communicate clearly and concisely in written and oral form.
Utilize various types of office machines, equipment, and technology to complete assigned tasks.
Produce information by formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
Distribute correspondence in the appropriate format (electronically, mail, inter-office delivery, etc.)
Maintain department operational information (financial, statistical, program data) either manually or electronically, entering data, retrieving and analyzing data, and compiling reports.
Maintain department calendars for departmental staff; including scheduling meetings, conferences, teleconferences, training sessions, facilities use requests, etc.
Create and maintain electronic filing systems for benefits, retirement, leave of absences, and workers’ compensation records, correspondence, and other material.
Create and maintain HR benefits and employee wellness areas of the WCPS website.
Back up to processing workers’ compensation claims. Communicate with human resources, payroll, employees, supervisors, and stakeholders in a clear and concise manner related to the correct processing of claims, answering questions, returning to work/light-duty, providing and submitting information, and maintaining the information properly in the HR system.
Assist with yearly OSHA reporting, communicate and provide documentation with all locations on the documentation posting, and provide notifications of taking down of the documentation according to deadlines and rules. Assist with governmental required reporting.
In conjunction with Benefits Leave Specialist, process and maintain records for premium payments for retiree self-pay, leave without pay self-pay, and employee self-pay.
Provide administrative support to the team related to responding to emails, phone calls, and drop ins related to benefits, open enrollment for active employees and retirees, benefits compliance, retirement processing, seminars, workshops, wellness related programming, events, ordering and inventory, and attend necessary meetings and take notes as requested by the coordinator.
Assist with the out-processing of employees moving into retirement and becoming retirees. Maintain all retiree benefits and personal information changes in terms of updating records, systems, and maintaining electronic filing and documentation.
Manage the employee wellness programming and coordination. Maintain inventory, assist with tracking the wellness budget in conjunction with Finance, coordinate and participate in meetings, work with employees and vendors on wellness offerings, programming, and incentives. Maintain information for monthly benefits communications by deadline dates and create and distribute other requested communications and materials.
Provide an elevated level of customer service and demonstrate a service-oriented attitude in a courteous and professional demeanor to all employees, retirees, and stakeholders of Washington County Public Schools.
Handle interactions with third party vendors in a courteous and professional manner.
Perform other duties specific to the assigned departments.
Provide backup support for the entire human resources department, as needed.

Ability to move, raise, lower, and carry objects up to 20 lbs. on an irregular basis.
Must be able to bend, crouch, stoop, reach, and climb.
Ability to work overtime if needed.
Will be subjected to loud noises, interactions, and traffic flow associated within a highly populated office environment.
