POSITION: Payroll and Accounting Specialist, Financial Affairs (FT)
Effective immediately: Full-time Payroll and Accounting Specialist – Financial Affairs – Wilmington University.
Requirements:
Associate’s degree in Business, Accounting, or related field required; Bachelor’s degree preferred. An advanced degree or payroll/tax Certification preferred. 3 - 5 years of experience with payroll processing in a multi-jurisdictional environment. Experience with ADP Workforce Now or similar payroll software is required. Experience with Banner or other ERP/payroll systems preferred. Must have excellent communication, customer service and organizational skills. Must be detail-oriented and able to work with a diverse population. Must be self-directed and able to make decisions independently. Must be computer literate and proficient in Microsoft Office products, especially in the use of Excel. Knowledge of a Student Information System is preferred but not required. Must demonstrate respect in the workplace and a commitment to creating a supportive work environment that values the contributions of all employees. The ability to maintain professionalism and confidentiality in all situations is a must.
Responsibilities include (but are not limited to):
Maintain and process payroll information by collecting, calculating, and entering data related to course credits, student enrollment, stipends, and assigned employee payroll.
Prepare and distribute teaching agreements and payment letters for faculty.
Process and record special pay, course overload forms, and other payroll adjustments.
Ensure accurate and timely payroll information is submitted to the Payroll Administrator.
Respond to, investigate, and resolve payroll and payment inquiries promptly and professionally.
Enter hours worked into the Faculty Portal for Affordable Care Act (ACA) compliance, providing updated information to Human Resources each term.
Ensure adherence to multi-state and local payroll regulations, including tax withholding and reporting requirements.
Stay current on legislative and labor law changes impacting payroll practices, including Paid Family Leave.
Obtain, process, and file employee state and local tax forms; ensure proper tax setup in ADP Workforce Now.
Conduct payroll audits to verify accuracy and compliance with federal, state, and local requirements.
Assist with maintaining and updating adjunct payroll processing procedures and payroll tax processing SOPs to ensure consistency, compliance, and efficiency.
Identify and recommend improvements to payroll workflows and systems; assist with implementation and upgrades.
Collaborate with HR, Payroll Administrator, Registrar, and academic units to ensure accurate payroll reporting.
Participate in cross-departmental projects and initiatives related to payroll and HR operations.
Guide employees regarding payroll policies, procedures, and compliance matters.
Serve as a key resource and backup for other payroll-related functions within the department.
Promote and foster a supportive, inclusive environment for all students, faculty, and staff.
Perform other duties as assigned by the Assistant Controller and Senior VP / CFO & Treasurer.
Hours of Employment: Generally, Monday – Friday between the hours of 8:30 a.m. – 4:30 p.m. (Incumbents may be asked to be flexible with their hours to meet the needs of the department and/or the University.)
