Internal Redeployment Only - Admissions Support Assistant 


As part of the wider University Admissions Team, provide an administrative service to the Healthcare Sciences Admissions function, engaging in and completing a range of routine tasks to meet operational and customer service requirements. Provide support and guidance on admissions-related tasks, and ensure key duties are undertaken.

The Admissions Team is responsible for the provision and administration of the University’s recruitment process and policies related to admissions. This includes the provision of application processes, decision communication and maintenance of systems related to the admissions process.  
 
Admissions plays an essential role in maintaining the reputation of the University through effective communication to the public and to external and internal stakeholders. The Admissions Team has a customer focused approach, and the team represents the University on a corporate level and involves all three academic colleges and constituent Schools. 
 
The Admissions Team is responsible for key links with external bodies such as UCAS and the Russell Group and aim to influence admissions practices not only at a local but at a national level. The team works on an evolutionary basis, working flexibly to meet service needs and demands and is committed to providing a world leading applicant experience.

This position is full time (35 hours per week) and open-ended. 

Salary: £25,249 - £26,093 per annum (Grade 3).  Appointments to roles at Cardiff University are usually made at bottom of scale unless in exceptional circumstances

Job Description

JOB PURPOSE

Key Duties
  • Deal with a range of enquires from internal (staff & students) and external (members of the public) customers in a professional manner, establishing their needs and adapting the standard responses accordingly.
  • Work with others to make recommendations for the development and improvement of current University processes and procedures.
  • Create good working relationships with key contacts to help improve service levels.
  • Undertake a variety of administrative duties to support the team and department.
  • Gather and review data to update administrative systems such as databases and spreadsheets, making sure the information is accurate, and highlighting to your line manager basic trends and patterns.
  • Actively contribute to the success of the team and support the supervision and management of it.
MAIN DUTIES & RESPONSIBILITIES
  • Provide efficient and effective administrative support for the organisation of all aspects of the student selection and admissions activities within the School.
  • Support processing of UCAS, RPL and direct applications across the School (UG, PGT).
  • Act as first point of contact for any queries, responding  to and dealing  with enquiries in relation to entry requirements and related non-academic criteria by telephone and  email.
  • Support the school admissions process, making arrangements for interviews/assessment days and assisting with the expedient decision of outcomes to applicants, utilizing relevant electronic processes.
  • Provide support and assistance to the wider team and contribute to team meetings to develop good working practices regarding policies and procedures, making recommendations for improvements where required
  • Undertake frequent monitoring activities in relation to the recruitment/selection of applicants.
  • Maintain office systems and processes and contribute to continual development
  • Provide support to the school’s enrolment process as required.
  • Assist with School events, such as open days as required.
  • Review student applications against set criteria, making recommendations for the offers of places, seeking advice from the Senior Admissions Officer as required.
  • Create and maintain master spreadsheets for allocated programmes.
  • Participate in key confirmation, clearing and adjustment activities throughout the month of August, answering a high volume of calls and processing a number of decisions promptly, whilst organising immediate interviews.

  • Ensure that an understanding of the importance of confidentiality is applied when undertaking all duties.
  • Perform other duties occasionally which are not included above, but which will be consistent with the role.

1. Experience of working in an administrative or office setting.
2. Experience of using common office IT packages (e.g. MS Office, e-mail etc.).
3. Ability to carry out a variety of administrative tasks, including writing clearly and concisely.
4. Ability to set up and maintain standard administrative systems and procedures, including using University systems to collate and record data online and in hard copy. (Training will be provided where required).

1 Fluency in Welsh, written and oral.
