Job Summary

Systems Analyst are to ensure accuracy and completeness of data, data interchange, and training of Materials Management Information Systems (MMIS). Works closely in collaboration with other departments on Data requests to support those departments. Manages the ERP System as needed in regards to testing new releases of software, appropriate setup of modules within the system, provides workflow improvements, and training of new users.

  • Minimum Experience: Requires Bachelors Degree in related area with three (3)+ years of job specific experience in supply chain management, preferably in healthcare OR an equivalent combination of education and training to successfully perform the essential functions of the job; combined with demonstrated professional growth and achievement.

Job Specific and Unique Knowledge, Skills and Abilities

  • Strong computer skills, including Excel software and basic programming understanding for ERP Systems.

  • Ability to focus on details in regards to data integrity.

  • Strong written and verbal communication skills.

  • Ability to multitask and prioritize requests.

  • Must have a high regard for Team work and working as a unit.

Essential Tasks and Responsibilities

  • Responsible for maintaining/adding accurate information and data in regards to the MMIS System. Maintains Master Vendor file as required by Purchasing, Accounts Payable, and reporting requirements. Facilitates changes to items, pars, and inventories related to the product conversion, standardization, backorder, recall and substitute processes. Building of contracts in relation to MMIS System as well as in any other interfacing programs such as GHX and Vizient. Advises on the most effective use of software and proper software procedures to meet desired environment.  Supports activities that require specialized system analysis. Extracts data to enable the reporting needs of the Supply Chain Management Department, Finance, and other departments as required.

  • Responsible for the implementation and maintenance of MMIS to ensure availability and appropriate functionality of the system throughout the organization. Participates in the development of written procedures and policies which detail the specific operation of the system and system changes in various modules, programs and in system maintenance. Updating processes and software. Training of staff on the system functionality. Performs system testing.

  • Maintains systems and procedures which ensure an accurate and current database to ensure efficient operations. Responsible for maintaining all new employee and changes employee information in the Employee module; including updating user passwords. Maintains responsibility for all functions in the manager utilities section of the system, authorizing only established users of the system for data entry in this area. Serves as needed for the appropriate training of personnel; provides training as indicated.

  • Represents Material Management’s interest in liaison activities with Information Systems Department. Project leader for evaluation of software. Supports Material Management’s computer system needs at monthly team  meetings. Stays abreast of Information System activities and priorities. Works closely with Finance department insuring proper month end close, year-end and maintenance of R&I Reports.

  • Assures smooth workflow within the Materials Management area. Reports to the Systems Manager with any problems with staffing not complying with Materials Management/Workday. Completes file maintenance as requested in a timely manner. Consults with professional staff to assure clerical needs are being met. Counsels with staff using a coaching mode. Makes recommendations on workflow or procedural changes to gain efficiencies. Performs other duties, such as buying supplies as needed.
