Job Overview:

This position provides support to the Benefits Team on day-to-day benefits administration for all US staff in addition to general assistance of the People Team.

What You'll Do:

  • Distribute all relevant benefits materials to new hires and newly eligible staff, providing guidance on enrollment process via Workday and following up to ensure completion of enrollment; provide supplemental info to new enrollees once benefits are active, such as obtaining benefit ID cards.
  • Perform regular audits of benefit vendor portals to identify and resolve discrepancies, work with vendor administrators to make necessary updates to ensure accuracy at all times. Ongoing review of terminations, ensuring proper processing in the various systems and accurate charges.
  • Prepare all monthly benefits related invoices for review by Benefits Director, submit for payment.
  • Prepare monthly benefits reconciliations for the Accounting Department, tracking any amounts owed or credits due, monitoring invoices for prompt resolution.
  • Work with payroll team to ensure accurate benefit deductions, confirming specifics of new enrollments, late enrollments, drops and changes.
  • Assist in answering general benefits questions from employees in a thorough and timely manner.
  • Communicate benefit updates and plan changes to employees throughout the year.
  • Perform monthly audits of 401k enrollments via Fidelity and monitor contribution change files, ensuring accuracy within the Workday system, resolving errors as needed. Track participant eligibility, monitoring accurate seniority per hire (or rehire) date.
  • Provide support during the annual Open Enrollment period, including development of communications, organization of education sessions, assisting with testing of new benefit plans and rate changes, and monitoring flow of enrollment changes to various vendors.
  • Assist with COBRA plan administration and auditing, including monthly reconciliation of enrollments, changes, terminations and associated charges/credits. Monitor notices sent via COBRA system, download and review monthly reports, update addresses in system as needed.
  • Maintain internal benefit files, employee overview documents and plan document records. Perform annual audits to ensure accuracy of employee data within all systems.
  • Create and update SOPs for key benefit related processes.
  • Assist the People Team with special projects or tasks as necessary.

What We're Looking For:

  • Bachelor’s degree in HR Business Administration and/or 1+ years HR generalist experience.
  • Excellent customer service skills with a proven ability of building good interpersonal relationships with people across the organization.
  • Working knowledge of navigating and utilizing HRIS applications as well as best practices for personnel data recordkeeping.
  • Must be extremely detailed oriented with excellent analytical and organizational skills.
  • Well-developed problem-solving skills and ability to work independently to resolve issues.
  • Comfortable troubleshooting issues over the phone, where necessary.
  • Ability to manage multiple priorities and strict deadlines.
  • Proficient in Microsoft Office applications, specifically Excel.
  • Ability to work effectively in a team environment as well as independently

Base salary range: $50-55K, plus bonus potential if applicable for role.
Actual base salary is dependent on several factors including but not limited to; market dynamics, location and region, experience, specialized skills/training (education), level of responsibility, budgetary considerations, tenure at the company (for current employees), etc. The salary range listed is just one component of the total compensation package for employees. Compensation decisions are dependent on circumstances of each role
