Staff Clerk - Southern Cross Station

About the role

As a Staff Clerk, you will be based at Southern Cross Station. Your primary responsibility is to prepare and manage staff rosters, including filling roles during absences. You will ensure the roster data in the system is current, that rosters comply with the rostering rules outlined in the Enterprise Agreement, and that they adhere to rail safety requirements along with the reporting of staff attendance and leave, among other tasks.  

 

Your duties include sending timesheets to payroll and making necessary adjustments, answering calls, providing up-to-date LACRS and radios to staff, and assisting management with various tasks as required. 

 

This is a 12-month Fixed Term Contract, full-time position with a rotating schedule over four weeks, which involves early morning starts (3:45 am) and late evening finishes (10:30 pm).    

 

Key accountabilities include:

  • Oversee the implementation of the master roster for conductors and station staff, ensuring compliance with awards, EBA, and business rules 
  • Prepare daily and advance rosters for station staff, including conductors and customer service officers 
  • Manage annual leave, public holidays, sick leave, special trains, and events 
  • Monitor train schedules, adjust rosters to prevent disruptions, and coordinate with outstation staff during cancellations 
  • Assist with staff shortages and facilitate shift swaps 
  • Issue and track cash bags, keys, receipt books, mobile phones, and radios for conductors and station staff while maintaining accurate records 
  • Manage cab charges, taxi orders, and accommodation arrangements as needed 
  • Verify and recommend authorisation for timesheets and leave forms 
  • Generate reports on workforce and roster data for managers 
  • Ensure roster data is current for the Train Crew Manager and aligns with safety regulations, training, and leave requirements 

 

About you

To succeed in this role, you should possess a strong understanding of the V/Line network or have experience with rostering or workforce planning. Additionally, you will need exceptional organisational skills and a keen eye for detail. 

 

In Addition: 

  • Successful completion of Year 10 or equivalent   
  • Valid Victorian Driver's License  
  • High level of organisation and attention to detail   
  • Rostering experience within Enterprise Agreement regulations   
  • Experience in a clerical or rostering role would be beneficial 
  • Intermediate to advanced skills in Microsoft Excel   
  • Strong knowledge of Southern Cross Station and its staffing requirements   
  • Strong safety culture   
  • Excellent problem-solving abilities   
  • Good understanding of the broader V/Line network is advantageous 

 

Our ideal candidate will possess the following Key Selection Criteria:

·         Experience with HASTUS (Highly Desirable) or other relevant rostering software.

·         Rostering Experience – within V/Line or Metro desirable but not necessary

·         Workforce Management – rostering skills to cover safety roster specific requiring

·         Payroll and Overtime Reporting for Budgeting

Remuneration for this position will be in line with the V/Line Rail Operations and Administrative Employees Agreement 2023 or Asset Management Enterprise Agreement 2023.
