TITLE:  Front Desk Receptionist  

 

REPORTS TO:  Director of Human Resources

 

TERMS OF EMPLOYMENT: Full-time Position, 12 months (July 1 - June 30), 5 days a week/ 7.5 hrs./day (30-minute lunch, 8am-4:00pm) SS4 

 

BENEFITS:  Eligible, personal days, sick days, vacation days

 

LOCATION:  District Administration Building

 

POSITION GOAL:   Perform general receptionist/secretarial duties in a timely, professional, confidential, and courteous manner. 

 

ESSENTIAL DUTIES AND RESPONSBILITIES:

  • Interact with administrative office personnel, District staff, vendors, and the general public in a friendly, professional manner. 
  • Observe confidentiality of all school matters. 
  • Make valid and independent decisions in assigned areas of responsibilities. 
  • Answers the phones in a pleasant manner, takes messages, and forwards calls efficiently.  
  • Exhibits skilled competence in word processing and business office software utilization. 
  • Ability to show tact and diplomacy in stressful situations. 
  • Must be cooperative, congenial, and service-oriented. 
  • Ability to work in an environment with frequent interruptions. 
  • Ability to work independently and complete tasks with minimal assistance. 
  • Ability to address small issues and problems without forwarding calls to specific departments. 
  • Ability to assist individuals with accessing information on the District website.  
  • Process volunteer applications, issues badges, and coordinate with schools. 
  • Manage the processing and collection of required pre-employment background check documents for all independent contractors, including review of documentation and maintenance of the document database. 
  • Provide administrative support to the Directors of Human Resources and Educational Affairs as requested. 
  • Maintain District website by adding or deleting content as requested.  
  • Access District calendars to assist with conference room reservations and room configurations. 
  • Provide both general and specific support to all business and Human Resources office personnel.  Support to be provided in a timely, efficient, and accurate fashion.  
  • Proofreading and typing 
  • Opening, organizing and date stamping mail 
  • Checking orders to verify if items were received via computer system 
  • Entering invoices on system for payment 
  • Filing 
  • Checking and entering timesheets (assisting payroll) 
  • Locking front door at end of day 
  • Managing the delivery of boxed items.  This involves checking system for P.O number to verify expected shipment, who the order is to be delivered to, and facilitating delivery 
  • Assist with Student Activities Accounting as needed, including Data Entry of Check Requests, Purchase Order Data Entry, Bank Reconciliation and Filing 
  • Iron Mountain document dispatch and retrieval 
  • Collection of school accident reports for insurance purposes 
  • Review Efax application and distribute to appropriate parties 
  • Coordinate with District Courier to deliver packages, maintain copy paper inventory, and coordinate returns for FedEx, UPS and Amazon 
  • Assist with maintaining inventory of kitchen supplies 
  • Support HHEF with clerical work when needed 
  • Update notifications on reception and kitchen monitors 
  • Update District phone lists  
  • Other duties as assigned 

 

POSITION SPECIFICATIONS

 

 

Physical Demands: 

Ability to sit at desk for extended periods of time 

Standing for limited periods of time 

Frequent bending, stooping, twisting, reaching, grasping 

Light lifting - up to 15 pounds 

Frequent carrying - up to 15 pounds 

Manual dexterity to prepare mailings and/or use office equipment 

Repetitive movement of fingers and hands for keyboarding 

 

Sensory Abilities:     

Visual acuity to read computer screen, correspondence 

Auditory acuity to be able to use telephone and greet visitors 

Ability to speak clearly and distinctly

Educational Level:  

High School Diploma or GED 

 

License/Clearance(s):          

Act 34 - Criminal History Clearance 

Act 151 - Child Abuse History Clearance      

Act 114- FBI Fingerprint Clearance
