Job Summary:

Composes and types a variety of correspondence, forms, logs, and reports; takes and transcribes minutes of office meetings.  Provides clerical support for assigned department/program.  Ensures Talking Leaves Job Corps (TLJC) Center's reports and plans are submitted timely.

Job Duties:

Prepares and delivers outgoing mail, picks up mail, logs and delivers incoming mail.  Composes and types routine correspondence, reports, and other required paperwork.  Ensures TLJC Center's reports and plans are submitted timely.  Maintains TLJC Center's report control log.  Files correspondences and other records in an established manner. Makes copies of correspondence or other printed matter as needed and faxes information as requested.  Answers telephone(s) and provides information to callers or routes calls to appropriate individual(s). Places outgoing calls.  Schedules appointments for assigned personnel.  Greets visitors, ascertains nature of business, and directs visitors to employer or appropriate person.  Arranges training, travel schedules, and reservations for assigned personnel. Prepares and processes Employee Actions Notices (EAN), Purchases Requisitions and Check Requests. Maintains supplies for assigned area. Verifies time cards and processes timesheets for assigned personnel.  Coordinates meetings for supervisor including establishing itinerary and prepares any necessary handouts. Records and transcribes minutes of staff meetings.  Apprises Center Director of any center contact with outside agencies. Notifies Center Director if required to make any contact with an outside agency.  Other duties may be assigned.

 

SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities.

Qualifications:

EDUCATIONAL REQUIREMENTS

Associate's degree from 2-year college or technical school; or two years (60 credit hours) coursework from 4-year college or university; or three years related experience; or equivalent combination of education and experience.

 

EXPERIENCE REQUIREMENTS

At least two years experience in a related field is required.

 

COMPUTER SKILLS 

An individual should have knowledge of Database, Internet, Spreadsheet, and Word Processing software.

 

CERTIFICATIONS, LICENSES, REGISTRATIONS

None required.

OTHER QUALIFICATIONS

Employee must not and will not be under sanction by the United States Department of Health and Human Services Office of the Inspector General (OIG) or by the General Services Administration (GSA) or listed on the OIG’s Cumulative Sanction Report, or the GSA’s List of Excluded Providers, or listed on the OIG’s List of Excluded Individuals/Entities (LEIE).

 

Must meet and maintain pre-employment and periodic background investigation and adjudication for child care. Must possess knowledge of general office procedures and practices.

 

PHYSICAL DEMANDS  

While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to sit and use hands to finger, handle, or feel. The employee is occasionally required to stand; walk; reach with hands and arms and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision.

 

WORK ENVIRONMENT   

The noise level in the work environment is usually moderate.
