JOB DESCRIPTION:
As a Fleet Coordinator, you will fulfill the vital role of administering the fleet of trucks, trailers and other vehicles that are essential to our work for clients. These services include collecting and managing information related to driver assignment, vehicle operation and maintenance, and providing the systems and tools for safe operation.
DUTIES/RESPONSIBILITIES:
- Maintain an accurate inventory of company vehicles and current primary driver for each.
- Ensure proper registration of vehicles.
- Set up new vehicles in the system, including ordering fire extinguishers, first aid kits and other safety supplies.
- Oversee, administer and maximize the Geotab system. Provide regular reporting to corporate safety director and managers. Train new users about the system. Notify Corporate Safety Director and relevant managers of infractions/alerts. Ensure all vehicles are assigned to a primary driver. Troubleshoot units that malfunction or go offline.
- Track, and notify managers and drivers of preventive maintenance coming due. Communicate with providers and schedule as needed.
- Track and provide reporting on vehicle mileage to safety and accounting as needed.
- Obtain pricing and facilitate scheduling for repairs.
- Upon receiving information regarding vehicle accidents from corporate safety, report the incident to the vehicle insurance carrier.
- Notify disqualified drivers (license suspension, excessive citations) and partner with employee, manager, and corporate safety to resolution.
- As needed, provide support for the Enterprise fleet management system.
- Partner with corporate accounting when new vehicles are being leased, or vehicles are being taken out of service to ensure installation or removal of Geotab devices, safety equipment, etc.
- May request new fuel cards from accounting, as needed
- Process invoices for repairs, tolls and maintenance.
- Serve as backup coverage for vehicle complaints when safety director is out of office.

- Research, develop and execute an asset management tool for the fleet (RF, barcode, app)
- Prepare annual budgets for projected vehicle replacements
- Will be the primary POC with Enterprise to approve repairs and maintenance, arrange turned-in vehicle pick-up and to track delivery on new vehicles on order
- Procure local venders for aftermarket additions (caps, strobes, and branding)
EDUCATION & EXPERIENCE REQUIRED:
- Two years’ experience using office software including Excel and High School diploma or GED
- Two years’ previous experience working with the public or in customer service is preferred.
REQUIRED SKILLS/ABILITIES:
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with a proven ability to collaborate with a team.
- Ability to exercise strong organizational, problem-solving and analytical skills.
- Proficient with Microsoft Office Suite or related software.
- Sense of urgency
- Requires a valid driver's license and an acceptable motor vehicle record, drug test, and criminal record.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift equipment up to 10 pounds at times.
