As the Administrative Assistant for the Safety, Health and Wellness team, you will provide specialized support to our group as we work to build our safety program with an emphasis upon collaboration and support across City Light.  This role will work with us to build relationships across divisions and work units, serving a critical role in supporting safety and cultural initiatives, serving in a key customer service role (our customers are internal – we support every person who works to keep the lights on), through program support optimization processes, problem solving, and maintaining key processes in program development, budgeting and finance. Candidates must demonstrate their enthusiasm for the people and processes that support employee safety and collaboration. Position Duties

  • Listen, learn and grow in your role, providing excellent customer service and collaboration with your peers across the utility.
  • Support cross-functional work across People and Culture.
  • Serve as a point of contact for Safety Staff and Specialists as well as others as needed. 
  • Maintain confidentiality and professionalism.
  • Maintain the division purchasing and accounts payable activity as well as tracking budget and spending.
  • Identify processes to streamline purchasing and allow for easy access to records to track purchase orders and spending
  • Working with finance to coordinate, request and obtain contracts and purchase orders, drafting and submitting budget compliance spreadsheets as needed.
  • Performs administrative functions and coordination for new and exiting employees.
  • Assist executive leadership in tracking organizational and business unit goals.
  • Prepare, edit, and review documents (sometimes related to sensitive personnel matters).
  • Research and compile information, data, and prepare reports.
  • Maintain confidential employee files, weekly logs, unit calendar, work files, and automated databases.
  • Other tasks as needed, including performance of general administrative functions, including but not limited to distribution of incident information, maintaining the administrative section of the Sharepoint site and developing internal processes and procedures and applying same to work within SHaW.
  • Manage shifting priorities with little direction.

Minimum Qualifications

Required Qualifications: In addition to the skills and experience mentioned below, a successful applicant will have experience that reflects a commitment to creating fair and equitable outcomes and has:

Requires one year of experience in administrative analysis, budget administration or preparation, office management, personnel administration, program administration, as staff assistant, or in a closely related field; and a Bachelor's degree in business or public administration, or another closely related field (or a combination of education and/or training and/or experience that provides an equivalent background required to perform the work of the class).

Certification/License: WA Driver's License or ability to obtain within 30 days of hire.

  • Excellent judgment, ability to work independently, self-motivated, and able to take initiative
  • Excellent organizational and time management skills, and strong attention to detail
  • Demonstrated computer application skills (Office 365, databases)
  • Superior communication, sound judgment, conflict resolution skills, problem-solving ability, skill in dealing with sensitive and complex employee issues or matters, and the judgment and confidence to work effectively when faced with ambiguity
  • Experience working in a cross-functional team environment

Essential Capabilities: The candidate must have good oral and written communication skills and be able to work collaboratively with all divisions and levels of the organization and outside agencies. The candidate must be self-motivated and able to demonstrate critical thinking skills, problem solving, and positive interpersonal skills. The candidate must be able to work in office environments and in harsh physical environments.

Other Qualifications

The full salary range for this position is $40.00 - $46.63 per hour.
