We are looking for a Branch Receptionist to join our Team.

In this role, you will be responsible for being the first point of contact for our visitors, processing all incoming and outgoing mail, and providing general administrative support and project assistance.

Our Minimum Qualifications

  • High school diploma or equivalent.
  • 1–3 years’ experience in a similar role.
  • Consistent punctuality and professional appearance.
  • Ability to read, write, and understand the English language.
  • Ability to sit for extended periods and lift up to 30 pounds.

 Our Preferred Qualifications

  • Professional yet approachable demeanor with excellent interpersonal skills to interact effectively with all visitors, including executives and managers, both in person and over the phone.
  • Strong customer service orientation and ability to prioritize multiple tasks in a fast-paced environment.
  • Proficiency in Microsoft Word, Excel, and PowerPoint; comfortable working in a Windows PC environment.
  • Experience with multi-line phone communication systems.
  • Excellent verbal and written communication skills.
  • Ability to handle confidential information with discretion.
  • Flexibility to adapt to changing priorities and willingness to take on new responsibilities.

Your Responsibilities

  • Serve as the first point of contact for all visitors, vendors, and customers, ensuring a welcoming and professional atmosphere.
  • Answer incoming calls promptly and route them to the appropriate personnel.
  • Maintain a safe, clean, and organized reception area at all times.
  • Provide administrative support for projects and overflow tasks, including expense account reporting, presentation preparation, and document management.
  • Maintain and update office directories and contact lists.
  • Manage conference room bookings, maintain the calendar, and prepare rooms for meetings, including lunch setups and refreshment stock.
  • Receive, sort, and distribute incoming mail and packages; deliver bulk packages to recipients and coordinate shipments via FedEx and other carriers.
  • Coordinate the delivery of bulk packages to multiple branch locations as needed.
  • Order, track, and maintain inventory of mailroom, breakroom, and general office supplies.
  • Assist with daily invoice reconciliation, scanning, and filing as required.
  • Support other administrative staff by covering phones and assisting with overflow duties during breaks or absences.
  • Monitor visitor logs and ensure compliance with branch security protocols.
  • Assist with scheduling appointments and supporting in-office events or meetings.
  • Perform other duties as assigned to support branch operations and team success.

  • Ability to lift up to 30 pounds.
