POSITION OVERVIEW: As an Admin Assistant III at LJA Land Development, you will be responsible for Administrative support for day-to-day activities of the various workgroups.
A TYPICAL DAY MIGHT INCLUDE:
- Assist with project and department administration and coordination as required
- Prepare letters, transmittals, memos, reports, proposals, contracts, forms and other business correspondence
- Edit documents (e.g., letters, reports, etc.) prior to client submittal. File correspondence and other documents
- Ability to learn to read utility plans
- Interface with accounting to open new jobs and ensure proper billing
- Assist in scheduling and confirming meetings. Makes travel, conference and seminar arrangements.
- Assist Vice Presidents with project opening forms and miscellaneous tasks
- Assist with credit card reconciliation
- Assist with handling miscellaneous request and office building issues
- Assist as backup for ordering routine supplies for office supplies
- Assist in scheduling and confirming meetings. Make travel, conference and seminar arrangements
- Assist with scheduling conference rooms for meetings and setup of beverages and food
- Assist with troubleshooting pc, tv and soundbar needs in conference rooms for meetings and brownbags
- Assist with coordination of office events
- Assist with troubleshooting issues with printers and plotters prior to service call
REQUIRED EDUCATION/LICENSE/CERTIFICATIONS:
- Associates Degree preferred or experience in industry
REQUIRED QUALIFICATIONS:
- 7+ years of experience
- Strong Excel, Word, Outlook and PowerPoint knowledge
- Must be dependable and possess sense of urgency
- Previous experience in an engineering consulting firm strongly desired
- Excellent proofreading and editing skills
- Strong written and verbal communication skills
- Ability to work effectively in a team environment; ability to accurately work under pressure in meeting deadlines
