OVERVIEW  

Associated Students, Inc. employs student-focused professionals with equity-mindsets. Established in 1963, Associated Students, Inc. (ASI) is a non-profit corporation guided by a student board and managed by full-time staff. ASI is a part of the Cal Poly Pomona Division of Student Affairs with an indirect reporting line to Administrative Affairs. ASI serves the entire campus population, including over 27,000 students, by providing opportunities for student engagement, student employment, and a multitude of programs and services such as recreation and wellness, student union and activities, student government, and childcare. ASI operational support areas include human resources, financial services, information technology, facilities management, and marketing. Currently, the guiding ideas of the organization are "under construction" as the team re-imagines its vision, mission, and core values. The ASI Facility Operations department is one of the largest departments in ASI. The department consists of four units, BRIC Operations, BSC Operations, Custodial Services and Maintenance, that are responsible for the maintenance, cleanliness, day to day operations, safety and emergency management of the BRIC and the BSC. The Facility Operations department strives to transform our facilities to a welcoming home for all and is committed to providing exceptional customer service experiences that lead to a sense of belonging in all ASI facilities.  

POSITION DEFINITION 

Under minimal supervision from the Facility Maintenance Manager, the Maintenance Supervisor provides oversight, supervision, and coordination of ASI Maintenance services area while directly supporting the Facility Maintenance Manager in coordination of work on major building systems, furniture, fixtures, equipment and staff oversight & supervision . The Maintenance Supervisor performs routine and complex assignments requiring specialized knowledge, prior relevant experience, and considerable independent judgment and decision-making. Must be available to attend all mandatory organization, department, unit wide and position specific trainings.  

ESSENTIAL DUTIES 

Personnel Management 

  • Assist with recruitment, interviewing, onboarding, and supervision of part-time Maintenance Technicians (11) and Lead Maintenance Technicians (3) .
  • Assign, review, and inspect work completed by part-time staff and leads; provide on-shift supervision and feedback.
  • Collaborate with Recreation Technician Supervisor to schedule cross-training of part-time staff.
  • Leads the planning, development, and execution of staff onboarding and training

Maintenance Operations and Equipment Oversight 

  • Provide support in managing the day-to-day maintenance operations of both the Bronco Student Center (BSC) and the Bronco Recreation and Intramural Complex (BRIC).
  • Provide oversight and assist with routine and complex maintenance tasks including minor HVAC, pool heating systems, electrical, and plumbing.
  • Monitor facility system equipment; coordinate repair and preventive maintenance as needed.
  • Participate in the scheduling and coordination of vendor work; provide onsite support and documentation.

Administrative and Project Support 

  • Utilize the Computerized Maintenance Management System (FMX) to maintain oversight of processing work orders, inventory updates, and equipment tracking.
  • Assist with scheduling third party contractors including coordination with affected departments and oversee onsite work as needed
  • Provide support in ordering supplies, preparing quotes, processing invoices, and managing budgets related to maintenance tasks
  • Lead the development, implementation and maintenance of standard operating procedures for the area
  • Help plan and execute job-specific training, orientations, and unit development initiatives.

Safety and Risk Management 

  • Enforce safety protocols and OSHA compliance standards; participate in safety training and drills.
  • Assist in the oversight of emergency response preparation and coordination.
  • Maintain proper documentation and assist with inspections and compliance tasks.

Organizational Engagement 

  • Attend mandatory trainings, meetings, and orientations.
  • Foster a high standard of professionalism and customer service.
  • Participate in ASI and department-wide events and initiatives.

QUALIFICATIONS & EXPERIENCE 

  • Current American Red Cross CPR/AED and Administering Emergency Oxygen for the Professional Rescuer certification (required to obtain within 30 days of hire; provided by ASI)
  • 6 months of technical experience completing general maintenance and repair: HVAC, Plumbing, Pool, Electrical or other major building systems required; 12 months, preferred
  • 6 months of experience with oversight of general maintenance and repair. HVAC, Plumbing, Pool, Electrical or other major building systems preferred 
  • 6 months of experience in a leadership role
  • Experience utilizing a Computerized Maintenance Management System (CMMS)
  • Ability to lead staff that can be demonstrated through previous supervisory experience
  • Ability to maintain confidential information
  • Ability to react and lead calmly and effectively in emergency situations
  • Strong conflict resolution skills
  • Ability to follow routine verbal and written instructions
  • Ability to effectively communicate clearly and concisely, both verbally and in writing
  • Ability to maintain professional work conduct
  • Ability to make independent decisions and make recommendations
  • Ability to adhere to work rules, follow directions, use time effectively and work productively without close supervision
  • Demonstrated ability to work with a diverse student population and campus community
  • Ability to operate a computer workstation using word processing, spreadsheet, and other computer applications
  • Ability to satisfactorily pass a background screening as an offer of employment is contingent on background clearance

EMPLOYMENT ELIGIBILITY  

Employment with ASI is open to any Cal Poly Pomona student who is eligible to work and has the legal right to work in the United States. In addition, student employees must be currently enrolled in a minimum of 6.0 units (undergraduate) and 4.0 units (graduate), international student employees must be enrolled in a minimum of 12.0 units (undergraduate) and 6.0 units (graduate) at the end of the add-drop period. Student employees are required to have a minimum overall and Cal Poly Pomona GPA of 2.0 and be in good academic standing with the University. Individuals enrolled only in Extended University are not eligible for hire. Exceptions to the unit load requirement are allowed during the summer term and for students who have applied for graduation for the current term.  

WORK ENVIRONMENT 

While performing the duties of this job, the employee is frequently required to sit, talk, and hear; manual dexterity, eye-hand coordination, and verbal communication; use of office equipment: telephones, calculator, copier and fax. Must be able to walk, stand, bend, and lift up to 45 pounds.   

Position subject to an occupational exposure to bloodborne pathogens. Annual bloodborne pathogen training is required. The initial training must be completed before the employee is assigned duties that may result in exposure to blood or bodily fluids. Hepatitis B vaccination will be offered after the training. May be exposed to hazardous airborne containments; must wear a respirator to maintain appropriate chemical levels at the BRIC pool.
