Position Summary
The Vice President / Director is responsible for the operational leadership of the company, overseeing all aspects of project execution, operational workflows, and organizational efficiency. This role blends creative design sensibilities with strong business acumen to ensure that each project is delivered on time, on budget, and aligned with the company’s wellness-forward ethos. The COO acts as a key liaison between the Founder, the design team, external consultants, and client stakeholders.
Core Responsibilities
- Operations Leadership
- Establish, refine, and oversee internal processes for project delivery (from concept through opening).
- Create resource allocation models, staff utilization planning, and internal reporting structures.
- Implement systems that ensure quality control, efficiency, and accountability across the firm.
- Project Oversight & Client Interface
- Serve as principal client contact during pre-design and design phases, ensuring deliverables meet client expectations.
- Translate client vision into actionable design and operational strategies.
- Monitor project progress, scope changes, and budgets; mediate conflicts between design intent and operational realities.
- Strategic Business Development
- Support the President in identifying and pursuing new business opportunities.
- Contribute operational insights during proposal development and client presentations.
- Maintain relationships with industry leaders, vendors, and operators (hospitality brands, spa/wellness operators, developers).
- Team Leadership & Mentorship
- Provide mentorship and direction to design, operations, and project coordination staff.
- Uphold firm culture of collaboration, creativity, and analytical rigor.
- Foster growth in staff skills related to project management, client communications, and operational thinking.
Requirements
Key Skills & Competencies
- Hybrid expertise: creative design understanding + operational/financial acumen.
- Strong leadership in managing multidisciplinary project teams.
- Exceptional communication and client relationship skills.
- Deep knowledge of hospitality and spa/wellness operations, including pre-opening.
- Comfortable working at both visionary and detail levels (conceptual big-picture thinking + hands-on execution).
Candidate Profile
- 12–15+ years of progressive experience in spa/wellness, hospitality design, or related operations.
- Proven track record in project management and client-facing leadership roles.
- Familiarity with luxury hospitality standards and spa/wellness operational requirements.
- Background in business management, hospitality, or design preferred.
- High EQ with ability to balance creativity, operations, and financial oversight.
