We are looking for an Assistant to join us in our Regulatory CMC & Devices team, based in our Brussels, Belgium offices

 

About the role

To ensure specialized administrative assistance to assigned business processes, projects and related activities to maximize the efficiency of one or a group of managers with a strong sense of organization, priorities, deadlines and with a concern for quality, efficiency, accuracy and cost awareness.

 

Who you’ll work with

You will report to the Global Head of Regulatory CMC & Devices

 

What you’ll do

  • To manage agenda, correspondence, meetings and business travels to one or a large number of top level managers and team members
  • To give specialized administrative assistance to business processes and related projects, activities, files, tools and procedures in an independent way and with final responsibility
  • To liaise and maintain contacts in different time zones with UCB personnel (Talent, Legal, Finance, Medical, Governmental Agencies, Affiliates etc), external parties worldwide, professionals, consultants, suppliers, service providers.
  • To resolve varying practical problems managers might encounter e.g. changes in regulations and working procedures, incorrect or conflicting information or data unexpected deadlines, unforeseen circumstances, rescheduling or cancelling, complaints, sensitive questions, etc.
  • To report on the results achieved and on the problems resolved.
  • To ensure assistance, training and back-up for colleagues.
  • Digital savvy with ability to train team members on digital tools used in the workplace.

 

Interested? For this position you’ll need the following education, experience and skills:

  • Bachelor’s degree required
  • Strong organizational, communication and time management skills.
  • Ability to work independently in a global and culturally diverse environment and manage own workload.
  • Skilled in work prioritization with ability to juggle multiple concurrent priorities/assignments, deadlines and stakeholders.
  • Learns from successes and failures and regards all experiences as an opportunity to learn and improve;
