Job Summary

The Nashville Office Manager is responsible for the smooth operation of the Hope Media Group facility in Franklin, TN. The primary functions will include interacting with listeners and vendors, extending hospitality to guests and team members, maintaining an orderly and productive atmosphere in the office. The office manager will be the “point person” for the facility, ensuring that office operations are in good working order, and working with leadership and outside vendors as needed to accomplish this. They will also be involved with project management, interacting with contractors and trades. The office manager seeks opportunities to model Hope Media Group’s mission “Engaging people to love Jesus, serve others, and spread Hope” to those they encounter.


Essential Functions

Office Operations:

  • Perform work (non-manual) directly related to the maintenance and upkeep of the Nashville building. 
  • Exercise discretion and judgment when it comes to making decisions that affect the Nashville building and/or the people who are working in the building 
  • Responsible to maintain office operations – which may include answering phones, handling doors, greeting visitors, managing and sorting incoming and outgoing US mail, UPS, and FedEx packages, and manage janitorial staff
  • Maintain overall office functions including equipment and supplies
  • Arranges travel accommodations for staff and guests who travel to the Franklin, TN area
  • Negotiates with hotels and vendors to obtain the best corporate deals.
  • Serves as the Office and Facility Manager and as such acts as the liaison with contractors. Ensures all building procedures and processes are completed as needed
  • Is responsible for appearance of building
  • Ensures that Nashville building and teams are supported during the Support Drives that are held multiple times a year
  • Responsible for processing Listener Support Donations
  • Interact with public in the form of events or station tours

Administrative Duties:

  • Assist Chief of Media Operations with projects and duties as needed
  • Partner with HR to host potential new hires and onboarding process
  • Submit invoices to accounts payables

Project Management:

  • Acts as liaison with contractors and vendors involved in various projects
  • Ability to act independently in assisting with process or timing decisions in projects 
  • Detail management in assisting renovation projects, etc.
  • Seeks and organizes bids from subcontractors

Demonstrated Faith:

  • Committed to a personal relationship with Jesus Christ, spiritually grounded and biblically literate 
  • Comfortable Praying for coworkers in team meetings, leading spoken prayer and participating in ministry prayer meetings and bible studies. 
  • Live by the Christian principles as defined by the ministry Statement of Faith
  • Participate in support drives and pray for donors as needed 
  • Passion for leveraging media for evangelism and discipleship
  • Exhibits strong moral character
  • Active member of a Bible believing local church

Non-Essential Functions:

  • Other duties as assigned


Requirements

Education:

  • Bachelor’s Degree preferred

Experience:

  • 2 to 4 years of working in an office environment, and demonstrated responsibility for the operation of an office or small business

Knowledge, Skills and Abilities:

  • Ability to work independently fitting the description of a self-starter
  • Learn and adapt fast to new processes and tools
  • Advanced computer knowledge (Mac or PC) of Microsoft Office 365 and G-Suite by Google and other basic office equipment including basic computer skills, copier, multi-phone lines, postal machines, etc
  • Exceptional communication skills and detail-oriented 
  • Demonstrates the ability to ask for clarity, take direction and prioritize multiple requests simultaneously
  • Ability to keep all executive work confidential
  • Customer service experience
  • Knows or is willing to learn EOS (Entrepreneurial Operating System)
  • Helps create and foster incomparable culture 
  • Commitment to a team environment, hospitable spirit, ability to assist with administrative initiatives and matters of significance in the Nashville office

Supervisory Responsibilities:

  • None

Working Conditions and Environment

Travel:

  • Local travel as needed


Nights/Weekends/Holidays:

  • Occasional as event planner/participant.
  • Occasional for conferences or retreats.
