- Maintain calendars, scheduling appointments and conference calls; make travel arrangements
- Coordinate all internal and external communication between the school executive and school site personnel, parents, students, and other stakeholders
- Produce correspondence (i.e., letters, memos, forms, written policies and procedures, etc.); create electronic copies of administrative and educational materials
- Assist in preparing reports, presentations, and related materials, including data analysis, summarization, and creation of supporting documents
- Coordinate Aspire Central Valley regional educational activities
- Conduct research as needed
- Maintain the appearance and organization of the regional offices (including supplies organization, design, etc)
- Manage vendor relationships
- Support other Aspire Central Valley team members as needed
- Handle sensitive information with discretion and confidentiality
- Handle calls from both internal and external sources
- Summarize, communicate, and track all incoming family complaints and follow through to a satisfactory compromise with all parties involved.
- Demonstrate knowledge of, and support, the Aspire Public Schools mission, vision, value statements including antiracism, policies and procedures, operating instructions, confidentiality standards, and the code of ethical behavior
- Perform other related duties as required and assigned.
- Highly proficient in executive-level administrative functions
- Ability to learn new software
- Ability to anticipate and resolve problems
- Excellent communication and interpersonal skills with demonstrated ability to write clearly and persuasively
- Strong command of word processing; exemplary spelling and grammar skills
- Ability to interface well with all departments of the company and to represent the Area Superintendent in a highly professional manner
- Ability to maintain the highest level of confidentiality
- Excellent organization, time management and follow-up skills; high sense of urgency; demonstrated ability to successfully handle multiple projects concurrently; ability to work independently
- Spanish bilingual preferred, but not required
- Two years college or equivalent work experience
- 3+ years in fast-paced, ever changing administrative support position
- Proficiency with Microsoft Office
- Moving self in different positions to accomplish tasks in various environments, including tight and confined spaces.
- Remaining in a stationary position, often standing or sitting for prolonged periods.
- Moving about to accomplish tasks or moving from one worksite to another.
- Assessing the accuracy, neatness and thoroughness of the work assigned.
- Communicating with others to exchange information.
- Repeating motions that may include the wrists, hands and/or fingers.
Work authorization requirements:
- Clear the Department of Justice background screening
- Authorized to work in the United States
- Provide health (TB) clearance (renewed every four years)
- Work indoors in a standard office environment, computer lab, and/or classroom environment
- Work is performed in indoor and outdoor environments
- Exposure to dust, oils, and cleaning chemicals
- Some exposure to childhood and other diseases in a school environment
- May be required to work outside of typical work days and office hours to meet operational deadlines
