The Utility Account Administrator will be responsible for overseeing all facets the utility account set up and maintenance, data management and ongoing needs for all properties and corporate entities with third party service providers. Act as the internal utility account liaison with the third-party billing and management provider to address service issues, billing information and contracts.

Responsibilities:Duties and Responsibilities
- Setting up online logins for all new property accounts
- Getting property bills switched out of contractor’s name and ensuring bills have the correct addresses and are set up with the correct entity names.
- New property set up – completion of all required forms and bills for Conservice for utility management and payment
- Investigate inactive accounts and respond to all third-party billing and management provider requests for information and or documentation.
- Assist/process account name changes.
- Address shut off notices from Pennrose teams with utility service and/or the third-party billing and management provider.
- Collaborate with accounting, property management, asset management and facilities teams.
- Direct and monitor property management teams for vacant recovery lease addendum and landlord agreement requirements and provide to the third-party billing and management provider.
- Create annual HUD reporting templates from utility data.
- Preparing utility budgets for tax credit applications and providing backup for those numbers.
- Special projects and assignments as requested.

Required Education and Experience:
- High school diploma or equivalent required; associate’s or bachelor’s degree in Accounting, Business Administration, or a related field preferred.
- Customer service experience.
- 2+ years of experience in utility account administration, property management, or billing preferred.
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Proficiency with Microsoft Excel and accounting or utility management software (e.g., Yardi, Conservice).
- Ability to interpret utility bills and identify discrepancies.
- Strong communication and customer service skills.
