Modern Woodmen of America is seeking a detail-oriented and member-focused professional to join our team as a Certificate Services Representative in our Members’ Service and Imaging Department. In this administrative support role, you’ll be a point of contact for members and financial representatives, assisting with certificate-related inquiries and transactions. From processing beneficiary and name changes to preparing reports and handling requests with accuracy and care, you’ll play a vital role in ensuring our members receive timely and reliable service.

Responsibilities:

  • Communicate with members and financial representatives via email, letter, or phone to address a wide range of certificate-related inquiries.
  • Review and process requests for beneficiary, name, and applicant changes with accuracy and confidentiality.
  • Prepare customized beneficiary acknowledgements and designations for non-routine cases.
  • Handle requests for waivers, memorandums, and certifications in accordance with the organization’s policies.
  • Evaluate assignment requests for acceptability, prepare assignment forms, and manage acknowledgements and releases for collateral and absolute assignments.
  • Process output and reports related to after-issue certificate transactions.
  • Investigate and resolve discrepancies in certificate data such as addresses, dates of birth, and Social Security numbers.
  • Research and prepare asset verification documents for government agencies as needed.
  • Provide policy statements upon request to members and internal departments.
  • Review and process a variety of daily reports to ensure data integrity and operational efficiency.
  • Accurately and efficiently manage work items in the Service and Workflow queues.
  • Maintain up-to-date knowledge of systems, certificate transactions, Modern Woodmen policies and procedures, state and tax laws, and departmental guidelines relevant to Certificate Services.
  • Contribute to the development and refinement of departmental procedures, including creating and maintaining standardized form letters.

  • High School Diploma required.
  • Superior customer service skills.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Ability to manage multiple priorities in a fast-paced environment.

What we offer:

  • Pay: The hourly pay for this position is $19.00. The specific rate will depend on the successful candidate’s qualifications and prior experience.
  • Work Arrangements: This is a full-time office focused, hourly position: 37.5 hours per week (7.5 hours per day), Monday- Friday, with flexible start time between 7 a.m.-9 a.m. Office focused positions work on-site due to the nature of the work and have limited remote days.
