POSITION OVERVIEW
We are seeking a highly skilled and detail-oriented Office Manager to join our team. The Office Manager is charged with managing the day-to-day administrative operations of our Central Avenue Idealease office and with maintaining strong communication between our customers, operations and accounting. The Office Manager will have a thorough understanding of the month end close process and ensure that all billings are accurate and processed timely. The Office Manager will further ensure that customer payments are collected within their terms.
DUTIES & RESPONSIBILITIES
- Support funding requests and the licensing of new vehicles in preparation for assignment to customers
- Monitor progress of placing units in service and work through road blocks as needed
- Facilitate needed actions for units coming out of service to ensure timely placement out of inventory
- Maintain IRPs and Base Plates for the Arizona operations
- Support regular and timely HVUT and IFTA filings. Serve as the lead and primary point of contact for any audits in these areas
- Manage day-to-day administrative functions, offering assistance where needed
- Review unit P&L trend reports for lease and rental units on a monthly basis to ensure profitability metrics are met
- Prepare monthly customer billings for lease/rental fees, customer bill-backs and billings for damage and other miscellaneous charges according to the month-end close schedule
- Reconcile supporting schedules monthly; research variances and bring to resolution
- Monitor and analyze department operating variances against expectations
- Work closely with the General Manager to prepare month end, quarterly and year-end deliverables
- Maintain internal controls to ensure compliance with company policies and to safeguard the company’s assets.
- Serve as a liaison between the management team, operations and the accounting department
- Foster a positive and inclusive team culture that values collaboration and innovation
- Other duties as assigned
KNOWLEDGE REQUIREMENTS
The knowledge requirements described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
- 5+ years office manager experience at a dealership
- Familiarity with dealership management systems (i.e. CDK, Excede, etc)
- Excellent analytical abilities and understanding of general accounting concepts
- Track record for maintaining a professional office appearance and atmosphere
- Ability to communicate effectively and professionally with internal staff and external customers

- We are located on Central Avenue, just south of the I-10
- This is an in person / on site role. We are not offering remote work at this time.
- This is a full-time, salaried position. Pay will be DOE.
