JOB SUMMARY: The Volunteer Services Assistant will be responsible for the development, coordination and operational success of volunteers and interns, ensuring agency mandates and standards are met consistently. In coordination with supervisor, will develop the systems, structure, procedures and relationships to facilitate volunteer and intern program from an administrative aspect.
ESSENTIAL DUTIES:
- Completes screening interviews and reference checks for potential volunteers and interns to ensure proper position placement.
- Oversees volunteers and intern application and background checks. Ensuring compliance of screening, results, and approval of candidates.
- Maintains accurate and up-to-date volunteer services files, records, and documentation.
- Answers frequently asked questions regarding volunteer services.
- In conjunction with the Volunteer and Community Engagement Manager will support volunteer and intern recruitment, training, development activities and stewardship.
- Manages volunteer and intern data analytics within agency volunteer management and Raiser’s Edge database(s) for assigned volunteers and interns and activities.
- Continuously prepares or updates, volunteer and intern posts, activities and in-kind needs, manages and reports on these activities.
- Contacts background-approved, trained, active volunteers and interns to coordinate them into scheduled volunteer and intern job postings and program activities.
- Develops and distributes program collateral materials, using approved program templates, strategies and communications flow(s).
- Prints and assembles volunteer, intern, activity and in-kind materials.
- Collects data and completes Monthly, Quarterly, and Annual programmatic reports.
- Supports tours and events on behalf of the Philanthropy Department, as requested.
- Answers phones professionally and timely, directing calls to the appropriate party or program, takes messages as needed.
- Completes reference checks on identified volunteer and intern candidates.
- Maintains confidentiality of personal information and the integrity of the record keeping process.
- Participates in staff development activities including training sessions and meetings, as required.
- Promotes ongoing commitment to excellence and continual quality improvement to ensure the highest quality of services to children, families, and team members.
- Performs other duties as assigned.
JOB REQUIREMENTS:
- Education /Background: Minimum of a High School Diploma with some work experience required.
Job Knowledge/Skills: Must be excellent communicator (written and verbal). Must be able to work independently in a fast-paced environment and meet multiple deadlines. React with flexibility and sensitivity to changing situations and needs. Problem-solve and structures time effectively. Must be sensitive to cultural differences within and across the agency and community. Fluent in Microsoft Office Applications (Word & Outlook). Able to learn and utilize volunteer database(s) effectively and practice accurate record-keeping techniques. Maintain confidentiality of student, family, volunteer and intern records. Bilingual preferred.
- Working Conditions/Physical Demands: Must be able to work in a fast-paced environment with moderate interruptions. Must be able to stoop, bend, squat, and ambulate over uneven floor surfaces including stairs and steps. Travel within community; must be able to work in a variety of program, agency and public settings. Evening and weekend hours required as needed. Must be able to visually and auditory assess and interact with donors, volunteers, interns, clients and general public. Extensive keyboard and data entry. May lift up to 25 pounds.
- Other requirements:
- Valid AZ driver’s license, reliable transportation and ability to show proof of registration/insurance.
- Level One Fingerprint clearance or ability to obtain fingerprint clearance; must maintain clearance.
- You must be 21 years of age or older to drive on behalf of Catholic Charities.
